TITLE: CPS Administrative Assistant – 12 Month Assignment

Pay Range: $18 - $21/hr

Qualifications
  • Minimum of a high school diploma or GED equivalent.
  • Associate’s degree or higher preferred.
  • Successful completion of fingerprint based criminal background check (IL State Police and FBI), sex offender and violent youth offender screening, and employment physical.

REPORTS TO: Building Principal and Assistant Principal

JOB GOAL

To ensure the smooth and efficient operation of the school office so that it has a positive impact on the education of children and effectively serves the needs of students, staff, parents and the community in a professional and courteous manner.

The position provides administrative support for the principal/assistant principal. Sensitive and confidential information must be maintained in a fast‑paced environment. Good judgement and the ability to prioritize and organize a diversified workload is a necessity.

Duties And Responsibilities
  • Maintains student records as shall be required for grades ECE‑4.
  • Oversees online registration via the student information management program for grades ECE‑4.
  • Assists with scheduling of kindergarten registration.
  • Oversees out of district records for grades ECE‑4.
  • Enters special education and speech records into the student information management program for grades ECE‑4.
  • Monitors the unfilled absences report each morning and works with building administrators to make adjustments as needed.
  • Emails daily staff attendance to District 51.
  • Maintains the building laminator and orders necessary supplies.
  • Orders teacher supplies and materials with purchase orders and maintain records of such.
  • Works with the Crisis Management Team to update the Crisis Management Plan books.
  • Updates maps and phone routing lists for the CPS building.
  • Coordinates with vendor for school pictures.
  • Publishes communication as directed or approved by administration to staff, parents and students using the student information management program, and all‑call program.
  • Performs office routines and practices associated with a busy and productive office.
  • Receives and routes incoming calls and distributes mail.
  • Assists with the outside student support programs such as Weekend Snack‑Pacs.
  • Assists with guest and substitute teacher check‑in and check‑out using the visitor screening program.
  • Assists in maintaining building calendars for scheduled events.
  • Assist PTO for special events.
  • Assists nurse when needed.
  • Enrolls and exits students throughout the year.
  • Enters intervention student data into Educlimber.
  • Enters intervention Title I information in Skyward.
  • Serves as a backup to the CPS 10 month administrative assistant when necessary.
  • Maintains regular attendance and punctuality to ensure teamwork and the completion of job duties essential to the daily operation of the school.
  • Performs other related tasks as assigned by the principal/assistant principal and other district office administrators as designated by the superintendent.
  • Adheres to a professional code of ethics which includes confidentiality of school related matters and loyalty to the school district.

TERMS OF EMPLOYMENT

12 months. Hourly rate approved by the Board of Education.

EVALUATION

All non‑certified employees receive a minimum of one written evaluation per year. The administrative assistant will be evaluated by the principal or assistant principal.
