Position: Clinic Administrative Assistant - FT

We’re looking for a Clinic Administrative Assistant to join our on‑site team in Waterloo, Iowa
. The position is full‑time, Monday‑Friday, 7:00 am – 3:30 pm. The Clinic Manager will rely on you to handle daily tasks such as preparing reports, pulling patient history, ensuring chart completeness, scheduling follow‑up appointments, maintaining inventory and restocking supplies.

The typical day includes:

  • Preparing and maintaining daily reports for the clinical manager
  • Inventory management
  • Greeting and directing clients and visitors
  • Making appointments and referrals
  • Answering phone calls and emails
  • Performing data entry and filing tasks for accounts payable, purchase orders, equipment inventory, and confidential employee or departmental files
  • Receiving, recording, and distributing packages and mail
  • Copying, collating, and otherwise preparing reports for mailings, meetings, and other correspondence
  • Performing other related duties as assigned
You Must
  • Be a high school graduate
  • Have at least 1 year of clerical work experience
  • Be proficient with data entry, typing, and a good grasp of proper grammar
  • Be able to greet visitors, clients, and colleagues in a friendly and courteous manner
  • Be able to type at least 50 wpm
  • Be able to proofread
  • Have a basic understanding of clerical procedures and systems such as recordkeeping and filing
  • Be able to work independently and identify and solve problems
  • Be able to organize and prioritize work
  • Have strong telephone and organizational skills
  • Have excellent computer skills, including experience in Microsoft Office and Excel
  • Have experience operating printers, copiers and document scanners
  • Be able to access and use the Internet and e‑mail programs
  • Be self‑motivated and can execute multiple tasks with minimal supervision
  • Have outstanding professional communication skills and the ability to handle a variety of personalities
It’s a Plus If
  • You have medical certifications
  • You have previous office experience
