Lead Patient Access Representative - Podiatry - Waterloo Medical Center - Full Time

We are looking to hire a Lead Patient Access Representative to coordinate and oversee the computerized scheduling application and processes for the entire clinic enterprise. This role provides training to staff and assists with changes and upgrades of computer software and telephone systems. The successful candidate will manage scheduling operations, coordinate provider schedules, maintain patient recall databases, and support the Patient Access Assistant and clinic staff in all aspects of scheduling.

Day Shift

• Coordinate the computerized scheduling application and process for the clinic enterprise.
• Provide training to staff and manage changes/upgrades of computer software and telephone system.
• Monitor the Navigator software and assist with phone system upgrades.
• Maintain and run schedules, opening and closing schedules.
• Collect scheduling data and support managers with scheduling analytics.
• Act as master scheduler and post‑implementation resource.
• Consult with the Patient Access Assistant on scheduling activities.
• Update and maintain provider call and weekly schedules.
• Communicate schedule information to associates and departments.
• Unlock cupboards, redistribute office documents, and maintain file systems.
• Maintain patient recall database and reports; distribute recall letters (70%).
• Orient and train staff on scheduling application and phone system.
• Contact providers annually to review and update templates and appointment types.
• Adjust end dates of provider schedules and maintain provider lists.
• Ensure new employees are oriented and competency assessed.
• Provide ongoing training on equipment and procedural changes.
• Coordinate activities with the Patient Access Assistant to support clinic needs.

• High school diploma plus specialized training.
• Completion of a Medical Secretary program or equivalent (6 months – 2 years).
• 0–2 years of experience working with provider schedules.
