Job SummaryThe Office Manager is responsible for overseeing day‑to‑day office operations and supporting communication between farm management, employees, and corporate partners. This position provides administrative support, helps manage office systems, coordinates HR and IT needs, and ensures that information and requests flow smoothly between GOF/MOR and the corporate team.
Responsibilities- Provide administrative support to the Farm President and Head Herdsman
- Coordinate IT and farm software support needs with Corporate IT, ensuring timely communication and updates.
- Escalate system or network issues to Corporate IT
- Coordinate HR‑related paperwork and communication with Corporate HR, ensuring timely submission of new hire, benefit, and worker’s compensation documentation
- Maintain physical personnel folders and I‑9 files on‑site in compliance with federal record‑keeping requirements and send copies to Corporate HR
- Assist with on‑site HR logistics such as distributing forms, collecting signatures, and scheduling required training
- Refer employees with HR or workplace concerns to the appropriate company channels, such as their manager, Corporate HR, or the confidential reporting tool
- Maintain confidentiality of employee information at all times
- Manage vendor accounting allocation in Concur and resolve issues with corporate accounting
- Collect data and submit monthly corporate reports and respond to reporting requests
- Assist Farm President with rental property and lease management
- Handle office‑related purchasing needs such as office supplies and vending machines; may assist other managers with order placement as needed
- Coordinate office administrative processes and communication across departments and corporate office
- Handle office communications, including phone calls, emails, and correspondence with vendors, corporate, and customers
- Maintain and update farm protocol documentation to stay current with compliance and program requirements. Monitor regulatory changes and coordinate updates to policies, training, and records with farm leadership.
- Enter data into the budget model and assist with preparation and monitoring of annual budgets and mid‑year updates based on leadership discussions
- Track and report budgets for management teams
- Manage the internship program, including applications and scheduling, and coordinate the selection process with the Farm President and Head Herdsmen
- Assist with website updates in coordination with consultants
- Support genetics program with signage, advertisements, and show‑related needs
- Maintain and prepare documentation and reports for FARM, FSA, USDA, and IDOT programs.
- Support audits and inspections by coordinating records, updates, and communications with farm leadership and vendor to ensure ongoing compliance.
- Assist with Nutrient Management Plan (NMP) documentation and compliance
- Coordinate employee appreciation efforts, gifts, and events
- Schedule meetings for managers and teams as needed
- Assist with sustainability initiatives and projects in coordination with corporate
- Schedule and provide tours for community and industry professionals
- Provide backup support for administrative and operational tasks during high‑demand periods
- Assist with other farm‑related projects or events as assigned
- Education:
High School Diploma or GED required. Associate’s or Bachelor’s degree in Business Administration, Accounting, or related field preferred - Certifications/Licenses:
Valid driver’s license required - 3–5 years of administrative or office management experience required
- Experience in agriculture, HR administration, accounting, or IT coordination preferred
- Strong organizational and multitasking skills
- Familiarity with HR documentation and corporate reporting requirements
- Ability to coordinate with corporate IT and support users in resolving minor issues
- Proficiency with Microsoft Office 365 and farm software systems (VAS, DC305, SCR, MILC, Dude Solutions)
- Strong written and verbal communication skills
- Ability to work independently while supporting farm leadership and multiple departments
- Knowledge of compliance requirements (FARM program, USDA, FSA, IDOT)
- Must be able to pass pre‑employment physical and background check
