Kocourek Ford is looking for a Vehicle Inventory & Title Specialist. The Vehicle Inventory & Title Specialist will be responsible for managing all aspects of vehicle title and registration paperwork. This includes ensuring that all documentation is completed correctly and in a timely manner, working with state agencies, and assisting customers with title-related questions.
Responsibilities- Process and prepare vehicle titles and registration paperwork for both new and used vehicles.
- Verify accuracy of all vehicle documents, including sales contracts and title transfers.
- Ensure compliance with state and federal regulations regarding title processing.
- Maintain an organized system for tracking titles and registration documents.
- Review documents for accuracy, completeness, and proper approval.
- Work closely with the sales and finance teams to ensure smooth transactions.
- Handle title and registration issues and resolve any discrepancies.
- Ensure all inventory is posted to the general ledger timely, accurately and within company guidelines.
- Ensure all auction sales are posted to the general ledger timely and within company guidelines.
- Record Retention – ensure various dealership documents and records are scanned into document management software.
- Process and distribute all paperwork on each retail deal along with preparing all contracts for funding and sending them to proper lending institutions.
- Deal Paperwork Compliance.
- Maintain a clean and organized office environment.
- Other duties as assigned by Accounting Manager.
- Adhere to schedules and deadlines.
- Thoroughness, accuracy and timeliness in completing essential duties.

Education and/or
Experience:
No experience required but dealership experience a plus. Must have excellent organizational skills along with clear written and oral communication skills. Highly proficient with Microsoft Excel and other Microsoft programs. Ability to navigate around computer programs with efficiency.
Physical Demand:
While performing the duties of this job, the team member is regularly required to talk or hear. The team member frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products or supplies, up to 20 pounds.
Work Environment:
Typical non-smoking office environment. Position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copy machines, filing cabinets and fax machines.
Hours:
Monday – Friday 8:30 a.m. – 5:00 p.m.
