Position Overview:

The Bookkeeper and Office Manager maintains the overall financial side of the business by monitoring and executing on all AR/AP and Payroll type activities. This role also manages day-to-day office tasks.

Base pay range

$28.00/hr - $32.00/hr

Key Responsibilities
  • Handle all accounts receivable tasks to ensure positive business cash flow.
  • Process draws and change order invoicing for positive project cash flow.
  • Track project expenses in spreadsheet tracker and Quick Books as needed.
  • Review invoices vs. budgeting to ensure accurate project billing.
  • Run payroll on a bi-weekly basis to ensure employees are paid.
  • Manage Quick Books entries and reconciliations for all operations of Woodbury entities.
  • Maintain certificate of insurance information from all sub-contractors.
  • Maintain/order office materials/supplies as needed.
  • Run office errands and bank deposits when needed.
  • Manage and run reports to provide accurate snapshot of project and overall business performance.
  • Filing of paper data and electronic data on a regular basis.
  • Assist with building and managing project budgets and client allowances throughout project duration.
  • Assist with drafting and reviewing project proposals prior to submitting them to the client as needed.
Qualifications
  • Positive attitude that represents the organization well.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Proven experience as a bookkeeper or in a similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience in Quick Books Online and Desktop is a must.
  • Experience in Smartsheet is a plus.
