This is a critical role that keeps our operations running smoothly and supports both our job sites and leadership team.

Position Summary

The Bookkeeper/Office Admin will oversee a variety of administrative and operational tasks, ensuring permits are filed accurately and on time, supplies are ordered efficiently, and schedules are coordinated seamlessly. This role is ideal for someone who is organized, adaptable, and thrives in a fast‑paced environment.

Key Responsibilities
  • ✅ Ensure all permits are filed accurately and on time with appropriate authorities.
  • ✅ Drive to permit offices and job sites as needed; reliable transportation is required.
  • ✅ Order and track supplies for multiple job sites, ensuring materials are available when needed.
  • ✅ Schedule and coordinate meetings, appointments, and job site visits.
  • ✅ Assist the CEO with calendar management, including prioritizing appointments and travel.
  • ✅ Maintain organized records of permits, invoices, and project documentation.
  • ✅ Serve as a point of contact between job sites, vendors, and the office to ensure effective communication.
  • ✅ Monitor and manage office budgets and petty cash.
  • ✅ Assist with basic bookkeeping tasks and expense reporting.
  • ✅ Contribute to a positive, team‑oriented work environment.
Requirements
  • ✔️ Proven experience as an Office Manager or similar administrative role (preferably in the construction industry).
  • ✔️ Strong organizational skills and attention to detail.
  • ✔️ Excellent communication and interpersonal skills.
  • ✔️ Ability to multitask and prioritize work in a fast‑paced setting.
  • ✔️ Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with project management software is a plus.
  • ✔️ Reliable transportation and a valid driver’s license.
  • ✔️ Ability to lift and transport small office supplies or permit‑related documents.
