The Administrative Assistant provides efficient administrative and organisational support to the Commercial Team, ensuring the smooth day-to-day operation of commercial activities. The role involves, submissions of works carried out for the clients, pay role activities, coordinating documentation, maintaining accurate records, supporting customer and supplier communications, and assisting with reporting and general office administration.

Key Responsibilities
  • Provide comprehensive administrative support to the Commercial Team.
  • Prepare, format and distribute commercial documents, reports and correspondence.
  • Maintain accurate electronic and paper filing systems.
  • Support the preparation and submission of quotations, contracts and tender documentation where required.
  • Maintain customer, supplier and project records within company systems.
  • Process purchase orders, invoices and other commercial documentation as required.
  • Monitor shared email inboxes and respond to enquiries or direct them to the appropriate team members.
  • Assist with data entry, reporting and maintaining spreadsheets.
  • Liaise with internal departments to ensure effective communication and information flow.
  • Ensure confidential information is handled appropriately and in accordance with company policies.
  • Provide general administrative support to the wider business as required.
Skills & Experience
  • Previous experience in an administrative or office support role.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills.
  • High level of accuracy and attention to detail.
  • Proficient in Microsoft Office applications, including Outlook, Word, Excel and PowerPoint.
  • Ability to prioritise workload and meet deadlines.
  • Professional and approachable manner.
  • Ability to work independently and as part of a team.
