Law Medical Group Practice, is seeking a reliable and organised Receptionist to join our team. The practice is committed to delivering high-quality primary care services to our local community and supporting patients through efficient administrative and reception support systems. The successful candidate will play a key role in supporting the multidisciplinary team by undertaking a range of reception and patient-facing duties.

This includes managing appointments through EMIS, handling patient queries, processing incoming correspondence, and ensuring that important information is accurately directed to the relevant clinicians. The role will involve front-of-house responsibilities, including welcoming and directing patients, responding to queries, and assisting patients both in person and over the phone in a professional and efficient manner.

Working Pattern:
This role can be offered on either a full-time or part-time basis, as per the below schedules:
Full-time:
Monday - Friday: 11:00am - 7:00pm or Part-time:
Monday, Wednesday & Friday: 1:30pm - 7:00pm Tuesday: 1:00pm - 7:00pm Thursday: 1:30pm - 6:30pm

The above working days and hours are strictly non-negotiable.

Eligibility:
This position is open only to UK citizens with a minimum of 5 years working experience in the UK.

The role involves providing comprehensive reception support to the multidisciplinary team within the practice.

Key responsibilities include managing patient interactions, handling incoming correspondence, and ensuring accurate distribution of information to clinicians.

The position includes front-desk duties such as greeting and directing patients, managing the appointment system using EMIS , booking appointments, responding to patient enquiries, and supporting the smooth and efficient day-to-day operation of the practice.

The following are the core responsibilities of the Medical Receptionist .

There may occasionally be a requirement to carry out other duties depending on workload, operational needs, and staffing levels.

Primary Responsibilities
  • Receive and process correspondence from hospitals, external healthcare providers, and other agencies.
  • Scan and upload documents onto the EMIS clinical system, ensuring accurate patient record management.
  • Review and appropriately allocate documents within EMIS , forwarding them to the relevant clinician for review and action.
  • Initiate and respond to requests from patients, practice staff, and external healthcare agencies in a professional and timely manner.
  • Photocopy and prepare documentation as required by clinicians and practice staff.
  • Provide cover for colleagues during periods of absence to ensure continuity of service.
  • Accurately input patient information and updates into EMIS where required.
  • Manage and resolve patient queries efficiently, escalating issues where appropriate.
  • Maintain a clean, organised, and efficient reception environment at all times.
  • Support the clinical team with day-to-day operational tasks as required.
  • Complete tasks relating to patient results, correspondence, and clinical letters where appropriate.
  • Demonstrate flexibility and adaptability in managing changing workloads and priorities to ensure the smooth operation of the practice.
  • Use EMIS and other digital systems effectively for patient record management, appointment scheduling, and internal communication.
Secondary Responsibilities
  • Maintain and monitor the practice appointment system using EMIS .
  • Process appointment requests received in person, by telephone, and via online systems.
  • Answer incoming telephone calls and direct them appropriately or deal with enquiries where possible.
  • Signpost patients to the appropriate healthcare professional or NHS service.
  • Support practice audits and administrative reviews as directed by management.
  • Process incoming electronic communications and documents where required.
  • Scan and attach patient-related documentation accurately to patient records within EMIS .
  • Carry out opening and closing procedures in accordance with the practice rota and operational requirements.
