Job Summary
The Patient Services I’s primary job function is to be responsible for initiating patient visits, coordinating patient appointments, collecting payments, entering/updating patient information in the computer system, and providing courteous, efficient and informal telephone access to clinic services.
Responsibilities- Greets all patients and guests in a warm and friendly manner.
- Performs AIDET 100% of the time; 90% proficiency score must be maintained.
- Registers patients; collects demographics and updates data as needed; assists with forms if necessary.
- Schedules appointments for patients using scheduling protocols and answering scripts.
- Enters accurate data in EMR, EDR and other electronic records in accordance with protocol.
- Obtains and verifies insurance information; scans insurance cards and verifies eligibility at each appointment; collects forms and waivers when necessary.
- Collects and records payments from patients; balances encounter batch and monies collected with totals in the practice management system.
- Reviews task buckets and claim workflow daily; performs End of Day Review; barcode and fax all incoming documentation daily.
- Directs phone calls to proper destinations or takes messages per protocol.
- Assists patients with information and education on other CVCH programs as approved by Supervisor.
- Provides accurate verbal translation (English & Spanish) when required.
- FOR DENTAL ONLY: Schedules appointments using scheduling protocols and answering scripts; confirms patients the day before scheduled appointment; maintains provider schedules per Dental Scheduling protocol; follows up on missed appointments and recall.
- FOR DENTAL ONLY: No Show processing: prepares and mails appropriate No Show letters and records EDR; identifies reinstatement eligibility and submits for consideration.
- FOR DENTAL ONLY: Recall Management: runs bi-weekly recall tickler report and sends reminder postcards; makes follow-up calls for current and past due recall patients.
- Performs other duties and tasks as assigned by supervisor.
- Assists with shift readiness, attendance, and essential functions of the job.
- Conforms to safety policies and general housekeeping practices.
- Demonstrates sound work ethics, flexibility, and community dedication.
- Maintains a positive attitude and cultural sensitivity toward clients and co-workers.
- Upholds the organization’s mission and core values: respect, integrity, trust, compassion, and quality.
- Follows CVCH policies and Joint Commission and HIPAA regulations.
- Education: None required. High School Diploma or equivalent preferred.
- Certification/Licensure: Valid WA State Driver’s License and good driving record.
- Experience: One year in medical or business/office field or equivalent education/training preferred.

Knowledge of computer applications; ability to multi-task; basic typing; 10-key; filing; fluent in English/Spanish. - Interpersonal

Mostly indoor office work; light physical effort; repetitive motions; ability to lift/move items up to 10 pounds; reading forms and screens. - Essential Mental Abilities: Strong organizational skills, attention to detail, problem solving, regulatory knowledge of health care plans; numeric and analytical capability; sound judgment.
