Base pay range

$27.00/hr - $30.00/hr

Our client is a leading digital marketing agency specializing in multi-channel advertising through SMS, websites, push notifications, social media, and email. They use advanced technology and data analysis to deliver measurable marketing results. The Executive Assistant will support the CEO with calendar management, travel arrangements, logistics, and occasional personal tasks. Strong organization, proactive problem‑solving, and proficiency in scheduling tools and online research are essential.

Job

Function
  • Support the CEO with managing a dynamic and tightly scheduled calendar, covering business, travel, and personal commitments for both the CEO and spouse.
  • Coordinate complex national and international travel, including booking hotels, flights, private golf tee times, and restaurants.
  • Manage VIP concierge services and arrange car services as needed.
  • Handle day‑to‑day logistics, ensuring all plans are confirmed, backed up, and proactively adjusted as necessary.
  • Run occasional personal errands such as mailing packages, completing bank or check runs, and coordinating shipments.
  • Oversee shipping logistics, including comparing carrier rates, packaging items, and managing both domestic and international deliveries for efficiency and cost‑effectiveness.
  • Assist with light administrative projects such as paperwork and cost tracking.
  • Communicate effectively and professionally with executives, vendors, and service providers in person, by phone, and via email.
  • Demonstrate proficiency in MS Outlook, Google and Microsoft calendars, Excel, and general internet research.
Job Requirements
  • Hospitality, event planner or concierge background.
  • Understand high‑level travel: private lounges, VIP lounges/memberships.
  • International travel arrangements.
  • Calendar management.
  • MS Office Suite.
  • 3‑5 years experience.
