Client OverviewWe are partnering with a leading global real estate and lifestyle company. As one of the most prominent privately‑owned real estate firms in the U.S., our client manages over $60 billion in assets owned or under development.
Position OverviewThe ideal candidate for the Temporary Executive Assistant role will maximize the efficiency of the executives' time and serve as the primary liaison between their offices and other executive teams. The role compensates $30 /hr.
Responsibilities- Manage complex calendars, schedule appointments, and prioritize meetings.
- Handle incoming calls, greet guests, coordinate conference rooms, and arrange meals.
- Serve as a primary point of contact between executives, internal teams, and external partners.
- Facilitate effective communication across departments and with external contacts.
- Prepare executives for meetings by providing necessary materials and ensuring adherence to schedules.
- Build and maintain strong relationships with executive contacts, becoming a trusted resource for the team.
- Coordinate travel arrangements, including flights, hotels, and ground transportation, and manage itinerary changes.
- Prepare expense reports and liaise with finance as required.
- Provide coverage at Reception when needed, including booking conference rooms, assisting visitors, and offering beverage service.
- Assist with personal tasks for executives, as needed.
- Support ad hoc projects and special assignments.
- 2–3 years of experience as an Executive Assistant or high‑level Administrative/Project Manager Assistant.
- Excellent written and verbal communication skills.
- Professional demeanor with the ability to interact effectively across all levels of management.
- Strong attention to detail and exceptional organizational skills.
- Ability to thrive in a fast‑paced environment, manage multiple priorities, and adapt quickly to changing demands.
- Sound judgment, discretion, and a strong sense of responsibility.
- Experience handling confidential information in a corporate environment is highly preferred.
- Self‑motivated, proactive, and a collaborative team player.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Bachelor's degree is preferred.
