Summary
The Receptionist is the first “face” and “voice” our visitors encounter - ideal for a “people person” with an outgoing personality who enjoys serving as a “host”. The Receptionist is a high-functioning specialist responsible for greeting and assisting guests, receiving and routing incoming telephone calls and faxes, scheduling and servicing our conference rooms, processing incoming and outgoing mail and packages, and keeping orderly the attractive lobby and conference corridor, including a small lounge/kitchen area.
The Receptionist is located at our West Palm Beach office. The position also provides remote organizational support to our Port St. Lucie office.
- Greet our guests entering the GOLDLAW Lobby, assist with sign-in, inquire about the nature and purpose of the visit, and inform them of or obtain an escort to their destination.
- Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.
- Knowledge of Robin, a conference room management application, is a plus.
- Be able to process emails, e-faxes, mail sorting, and assist with other desk administrative functions.
- Basic knowledge of standard office practices, procedures, equipment, business math, and administrative support techniques.
- Strong interpersonal skills, with an enjoyment of meeting new people, adapting to varied personalities, and maintaining the mindset of hospitality of a great host.
- Schedule appointments and maintain and update appointment calendars.
- Knowledge of Microsoft Outlook, Excel, and Microsoft Word; knowledge of Pitney Bowes mailing software and hardware is a plus.

- REQUIRED:
Bilingual Spanish Speaker.

- Mid level of proficiency with MS Office Suite (MS Word, MS Excel, MS Outlook).
- Ability to accept training for and to operate a mail processing machine.
- Experience in a similar role preferred.
- High School or equivalent.
- Optional of 2 years’ experience of Reception experience High School Diploma or equivalent.
This job operates in a professional office setting as well as working out in the field with the public s role routinely uses standard office equipment. Manual dexterity, physical mobility, and some physical strength/stamina.
