Position: Construction administrative assistant at Veneto Construction Group West Palm Beach, FL

Job Description

About the Role

Veneto Construction Group is looking for a highly organized, detail-driven Construction Administrative Assistant to support our day-to-day operations. This is an entry-level role perfect for someone who is dependable, eager to learn, and looking to grow in the construction industry.

You will work closely with our CEO and project team to support scheduling, documentation, communication, and basic project coordination. No construction experience required — we will train the right person.

What You’ll Do

Administrative & Project Support

  • Organize and maintain job folders, documents, and project files
  • Assist with scheduling inspections, jobsite visits, and internal meetings
  • Help track project stages, deadlines, and action items
  • Update project information in our management software

Communication & Coordination

  • Communicate with subcontractors, vendors, and clients regarding scheduling and document requests
  • Ensure subcontractors provide required paperwork (W-9s, COIs, vendor forms)
  • Follow up on pending tasks and help keep projects moving

Documentation & Light Financial Tasks

  • Assist in preparing proposals, work orders, and job start-up documents
  • Help with basic invoicing, payment tracking, and receipt organization
  • Maintain logs of materials, purchases, and change orders

General Office Support

  • Answer phone calls, emails, and client inquiries
  • Help organize company files, photos, and online folders
  • Support the team with additional tasks as needed

Who You Are

  • Highly organized and detail-oriented
  • Good communicator (verbal & written)
  • Motivated, reliable, and eager to learn
  • Comfortable working in a fast-paced, growing company
  • Able to manage multiple tasks at once
  • Tech-friendly (Google Workspace, Microsoft Office)
  • Bilingual (English/Spanish)

Qualifications

  • 2 years of administrative or office experience (construction experience NOT required)
  • Strong organizational and multitasking abilities
  • Comfortable learning new software and systems
  • Positive attitude and willingness to grow with the company
