Overview
Property Manager (Luxury Condo) role at KW PROPERTY MANAGEMENT AND CONSULTING. This role provides management, direction, and leadership to ensure the property is maintained and operated in accordance with KWPM objectives. Property Managers are certified and licensed by the State of Florida for Community Association Manager (CAM).
Responsibilities- Serve as the key employee liaison between the client, KW Property Management, and internal support staff; project a professional image with friendly customer service, timeliness, and professional appearance.
- Work closely with the Association Board of Directors and/or the Developer to manage and operate the community and facilitate solutions to problems; apply strong management, customer service, and supervisory skills.
- Act as the company’s primary coordinator on assigned properties to ensure contractual property management obligations are met or exceeded.
- Prepare annual budgets for the association and analyze monthly financial statements, including operating variances, cash management, and strategies for collections.
- Maintain complete and accurate property files and records; coordinate with headquarters on management procedures; provide prompt, detailed, and accurate status reports.
- Supervise on-site staff; develop specifications, evaluate service needs and performance, promote professional behavior, and ensure safety standards; motivate staff to work as a team.
- Foster collaborative relationships across departments and chair team meetings as needed; prepare for meetings in advance.
- Maintain current knowledge of state statutes and each client’s community documents, policies, and procedures.
- Coordinate move-in processes with new resident representatives; orient staff and residents to services and building rules and regulations.
- Set and uphold high standards of performance and follow up to ensure quality service delivery.
- Respond to phone calls and correspondence in a timely and professional manner; maintain professional relationships with the Board of Directors, unit owners, and vendors.
- Attend Board of Directors meetings as needed according to Roberts Rules of Order; create management reports with updates on administrative items, financials, property conditions, and project progress; provide clear recommendations.
- Prepare professional presentations of reports, action plans, budgets, and bid analyses.
- Support KWPM’s GREAT values, philosophy, goals, and policies; manage time effectively across multiple projects; attend monthly Manager’s meetings.
- Maintain and upload all documents in the management support systems; monitor and evaluate contracts; ensure vendors carry appropriate insurance and licenses; maintain documentation.
- Maintain accurate records and organize files per company standards; regularly update Association communications (menus, newsletters, website).
- Process violations, work orders, architectural control applications, lease applications, and sale applications monthly as required.
- Manage cash balances and project funding; monitor aging reports, timely legal action, and collections updates; maintain equipment maintenance logs and preventive maintenance schedules.
- Strong working knowledge of customer service principles and practices.
- Ability to read, analyze, and interpret technical procedures, leases, regulations, or similar documents.
- Proficiency with Microsoft Office applications.
- Florida CAM license.
- Valid Florida Driver’s license.
- Willingness to work extended hours, including possible nights and weekends.
- Ability to respond to emergencies in a timely manner.
- Some locations may require bilingual proficiency in English and Spanish.
- This is a full-time exempt position; standard workdays are Monday through Friday; hours determined by client needs. Occasional local travel for training and meetings.
- Work environment is a professional office setting with standard office equipment.
