They're seeking a detail-oriented Construction Submittal Coordinator to support an active federal construction project at West Point, New York.

This position will be responsible for reviewing, tracking, processing, and coordinating construction submittals to ensure project documentation is accurate, complete, and compliant with contract requirements.

The ideal candidate will have experience working with construction documentation, technical submittals, and project management teams. Experience supporting U.S. Army Corps of Engineers (USACE) or other federal construction projects is highly preferred. This is an onsite position working directly with the project team at West Point.

Key Responsibilities
  • Review incoming construction submittals for completeness, accuracy, and compliance with contract specifications and project requirements.
  • Process and track submittals, including shop drawings, product data, material samples, certifications, and other required documentation.
  • Maintain organized submittal logs and monitor approval status, deadlines, and outstanding items.
  • Coordinate with project managers, superintendents, subcontractors, quality control personnel, and government representatives to ensure timely submittal reviews and approvals.
  • Identify missing information, discrepancies, or incomplete documentation and coordinate necessary corrections.
  • Submit documentation through designated project management and government systems.
  • Track submittal revisions, resubmissions, approvals, and closeout requirements.
  • Assist with Requests for Information (RFIs), document control, and other project administrative tasks as needed.
  • Ensure all submittals are properly documented, filed, and accessible to the project team.
  • Support the project team in maintaining compliance with USACE procedures, contract specifications, and federal construction requirements.
  • Communicate regularly with subcontractors and vendors regarding outstanding documentation and submission deadlines.
Requirements
  • 2+ years of experience in construction administration, submittal coordination, document control, project engineering support, or a related construction role.
  • Experience reviewing and processing construction submittals, shop drawings, product data, and technical documentation.
  • Familiarity with construction drawings, specifications, and contract documents.
  • Strong organizational skills with the ability to manage multiple submittals and deadlines simultaneously.
  • Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
  • Experience with construction project management or document control software.
  • Strong written and verbal communication skills.
  • Ability to coordinate effectively with subcontractors, project managers, and other project stakeholders.
  • High attention to detail and ability to identify documentation errors or missing information.
  • Ability to work onsite at West Point, NY.
Preferred Qualifications
  • Experience supporting federal construction projects, particularly USACE or Department of Defense (DoD) projects.
  • Familiarity with USACE submittal requirements and quality control procedures.
  • Experience using RMS (Resident Management System), Procore, Autodesk Construction Cloud, or similar construction management software.
  • Knowledge of construction submittal registers, specification sections, and approval workflows.
  • Experience supporting military installation construction, renovation, or healthcare facility projects.
  • Familiarity with construction quality control documentation and project closeout processes.
Ideal Candidate

The ideal candidate is highly organized, detail-oriented, and comfortable managing a high volume of construction documentation. They understand the importance of accurate submittal processing and can work independently while coordinating with multiple project stakeholders.

Someone with a background as a Construction Administrator, Project Coordinator, Document Control Specialist, or Project Engineer who has hands‑on submittal experience would be a strong fit.
