Overview

Brookhaven Hospice is currently seeking an Administrative Assistant for our West Springfield Hospice Program. If you are looking for a career with a purpose and a supportive team culture, then this is the position for you!

The Administrative Assistant provides general office support with a variety of clerical activities and related tasks. Deals with a diverse group of external and internal customers, callers, and visitors. Organization, approachability, and proper presentation are of the utmost importance. A successful Administrative Assistant will be able to perform their essential duties and responsibilities.

Monday - Friday, 8:00 am - 4:30 pm

Responsibilities
  • Take and manage daily schedules for all team members; maintain patient assignment lists.
  • Handle patient care data entry and be responsible for establishing patient charts and all medical record filing.
  • Notify staff of discharges, transfers, and changes of status on patients.
  • Log and fax/mail telephone prescriptions for physicians  signatures and maintain tickler file until the signed order is returned.
  • Prepare for interdisciplinary group meetings, maintain minutes, and copy and/or fax IDG notes to attending physicians.
  • Track and order office and medical supplies, keeping adequate stock on hand.
  • Answer phones for receptionist during lunch hour, breaks, or during absence.
  • Monitor and audit documentation of clinical records to ensure compliance with regulatory standards of timeliness, accuracy, and completeness via electronic records.
  • Demonstrate familiarity with Hospice policies and state/federal licensing requirements.
Qualifications
  • High School Diploma or GED required
  • Minimum of two (2) years of clerical and administrative experience in a healthcare office required; hospice experience preferred
  • Must be a licensed driver with a vehicle in good working order and in accordance with state and organizational requirements
  • Proficient with Microsoft Office or related software and able to type 60 words per minute
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
  • Ability to take initiative, set priorities, multitask, and organize work; self-motivated and detail oriented
  • Compensation: $24.00 - $26.00 per hour (average pay range). The final offer will reflect the selected candidate’s experience and responsibilities of the position and will be discussed at the conclusion of the interview process.
