Scheduler, Healthcare

Position Purpose

Coordinate and schedule external appointments for participants according to participant needs and care plans designed by the interdisciplinary team. Work closely with the transportation department, participants, caregivers, and center staff.

Full time

• Maintain accurate participant schedules, including service details as per care plans.
• Notify managers of scheduling changes requiring a physician's order.
• Record scheduling updates daily and respond promptly to participant referrals.
• Coordinate with all departments involved in participant appointments.
• Ensure nursing completes participant education before appointments.
• Use electronic scheduling systems; schedule aide services as determined by the Interdisciplinary Team (IDT).
• Track training and medical clearances for agency personnel.
• Review agency invoices for accuracy and forward for approval.
• Create EPIC authorizations and transportation appointments.
• Remind participants/caregivers of appointments.
• In the absence of the manager, review agency invoices for accuracy of billed agency hours and forward onto the Nursing leader for approval, if applicable.
• Create EPIC authorization, transportation appointment, escort appointment, etc.

• High School Diploma or equivalent required.
• Associate degree preferred.
• 1 year scheduling experience.
• Previous medical scheduling experience strongly preferred.
• 1 year experience with a frail or elderly population, or appropriate training upon hiring.
• One year of customer service experience serving as the first point of contact via email/phone/in person strongly preferred.
• Strong customer service, organizational and conflict management skills.
• Excellent written and verbal communication skills and flexibility to adapt to ongoing change and changing priorities.
• Proficiency with Microsoft product suite (Word, Excel, PowerPoint, etc.); basic knowledge and experience with electronic mail and calendaring system.
• Ability to use other software as required to perform the essential functions of the job.
• Position may require 10% travel within the Centers geographic region.
