Overview
Executive Assistant II (HS) for OSU Cancer Program, supporting the Chief Operating Officer of The James Cancer Hospital and Solove Research Institute. The James is a large cancer hospital and The Ohio State University Comprehensive Cancer Center, with complex operations across campus.
Scope of PositionThis position serves as a key component of the administrative operations of the OSU Cancer Program and provides lead administrative support to the Chief Operating Officer (COO) of The James Cancer Hospital and Solove Research Institute. The Executive Assistant works under minimal supervision and is responsible for the efficient operations and professional image of the Office of the OSUCCC-James.
Position SummaryThe Executive Assistant for the COO of The James is a key liaison and representative on behalf of the COO and a critical member of the executive administrative team. Working closely with other Executive Assistants in OSUCCC-James Administration and the COO’s team, this role supports efficient operations and the professional image of the COO’s office. The role exercises discretion and handles confidential information.
Primary duties include supporting daily executive administrative needs, serving as an initial point of contact with board members, executive leaders across OSUCCC-James, the university and medical center, donors, government and community leaders, and faculty, staff, and learners across the University; reviewing and processing confidential information; prioritizing inquiries; scheduling appointments and coordinating meetings for the COO’s calendar; preparing materials needed to facilitate the COO’s time management;
directing inquiries to appropriate staff; conveying directives and critical information to senior executives, faculty, and staff; coordinating and reviewing written materials for the COO (agendas, itineraries, presentations, correspondence, letters, memos); ensuring documents requiring the COO’s signature comply with policy; arranging travel and processing expense reimbursements; and coordinating special projects as directed.
For Hire: Bachelors degree or equivalent experience. Administrative experience in a hospital, executive suite, and/or supporting multiple leaders is desired; four years of senior administrative support experience including managing complex scheduling and impeccable attention to detail. Requires sound judgment, the ability to prioritize, define problems, collect data, establish facts, draw conclusions, and recommend appropriate action.
