Location: Beryl
Central Virginia Catholic Cluster is seeking a part time Parish Bookkeeper.
This position will be 15 hours per week. Under the direction of the Church Finance Council and Pastor, is responsible for performing a variety of bookkeeping and accounting duties for the parish.
Essential Duties as a Part Time Employee – Duties apply to all three churches.- Assist the Pastor and Finance Committees in complying with all Diocese finance policies.
- Enter deposits on a weekly basis into proper accounts in the Diocese accounting system
- Parish Soft and our bank partners. - Process all checks/deposits for accounts receivable following Diocese guidelines.
- Reconcile all bank and investment accounts monthly.
- Create appropriate reports as requested by our Priest and/or Finance Committee.
- Be knowledgeable of the Diocese of Richmond Intranet and Extranet system.
- Responsible for submitting all payroll reports for the Parish Bookkeeper, Custodian to the Diocese through the UKG time Keeping system.
- Maintain donor records and prepare yearend financial donor statements.
- Maintain accurate records of special events (Easter giving, Christmas giving, Thanksgiving baskets, flower collections, and Memorials.)
- Prepare a rough draft of budget and submit to the Diocese for feedback.
- Coordinate final submission of approved budget approved by Finance Committee Chair and Priest meeting diocese guidelines.
- Coordinate our annual “close out” reports following the diocese guidelines.
- Prepare cluster invoice monthly for reimbursement of shared expenses.
- Willingness to learn to use Parish Soft software.
- Willing to attend diocese software classes if available. (Expenses to be reimbursed)
- Communicate directly with the Diocese Finance staff to help resolve any issues or nonconformities requiring attention.
- Willing to request and accept additional training.
- Ability to successfully pass a background, criminal history, and credit history check.
- Ability to be a self-starter, with ability to multitask and manage the hours to perform the responsibilities assigned.
- Be a Team Player, networking with the Finance Committee, Collection Counters, Priest and other Church volunteers.
- Ability to maintain confidentiality and demonstrate honesty attributes.
- General accounting duties, including entering data, posting gifts, preparing checks and making bank deposits and Formulation of annual operating budget.
- Monthly reporting to the Pastor, parish finance council, and the Diocese of Richmond.
- Execution of budget including income statements, cash flow management, and deposits and expenditures
- Maintaining parish databases, accounting records, and filing IRS statements and claims
- Execution of payroll efforts, including taxation and benefits.
- Preparing monthly reconciliation of bank and investment accounts
- Processing gift acknowledgments and notification of gifts as well as producing and mail statements for parishioners and donors.
