Administrative Assistant – Spectrum Health Systems, Inc.

Location: Westborough, MA – Programs located at our Westborough Treatment Campus. Staff may be placed at any of the several programs located on the campus. Nursing staff are cross‑trained to cover all programs and levels of care.
Pay rate: $20.00–$21.00 per hour
Schedule: Part‑time, weekends only (Friday/Saturday 2nd shift). 16 hours per week.

- Perform a variety of administrative duties in support of clinical and programmatic operations.
- Order office supplies and maintain inventories for assigned programs.
- Order linens, towels, hygiene products, printed materials, and other items necessary for program operations and maintain inventories.
- Oversee office equipment maintenance and contact vendors for items such as copiers, phones, cable/internet, IT support services, etc.
- Perform basic billing functions in support of the admissions department, such as benefit verifications and other administrative billing tasks.
- Manage clinical record filing, including discharge records, and coordinate pick‑ups of records going to off‑site storage companies, tracking them for retrieval as needed.
- Track completion of certain record documentation within the electronic health record system and send reminders to staff for incomplete items.
- Minimum of a high school diploma or GED.
- Two years of experience in office/clerical support, preferably in a healthcare setting.
- Experience with billing or admissions processes in a healthcare setting is highly desirable.
- Working knowledge of Windows and Microsoft Office, including Word and Excel.
- Knowledge of appropriate business correspondence protocol.
- Excellent verbal, social, and written communication skills.
- Ability to express oneself adequately in written and oral communication and to communicate effectively in an interdisciplinary, culturally diverse setting with clients, families, staff, and regulatory agencies.
