Primary PurposeThe Customer Compliance Data Base Coordinator is responsible for managing United Site Services’ customer vetting and safety compliance databases, ensuring the organization meets all external customers’, regulatory, and contractual safety requirements. This role supports internal stakeholders, including Sales, Onboarding, Operations, Contracts, Human Resources and Safety through maintaining accurate safety data, managing compliance documentation, and coordinating safety-related submissions across multiple customer platforms.
The ideal candidate is detail‑oriented, highly organized, and adept at navigating complex compliance environments. The position also manages customer compliance audits and maintains the USS Safety Manual as a core compliance artifact.
- Manage all customer compliance and qualification platforms, including ISNetworld, Avetta, Veriforce, Comply works, GRMS, Highwire, ITS, and Ecovadis.
- Ensure all customer‑required documentation is uploaded, accurate, and current (COIs, safety programs, ESG data, financial information, transportation data, training records, ISO certifications, licenses, T&C acknowledgments, cybersecurity documents, etc.). Maintain each database’s annual and quarterly renewals.
- Maintain and validate customer connections to ensure USS pays only for active, necessary compliance relationships.
- Partner with Legal to ensure USS meets all customer‑specific vetting, safety, insurance, and ESG obligations.
- Lead preparation for customer safety and compliance audits across ISN, Avetta, and similar platforms.
- Produce monthly, quarterly, and annual compliance reports for customers and internal leadership.
- Collaborate with Insurance Broker to ensure COIs meet customer specifications and prevent work stoppages, and assist with EMR documentation and customer variance/waiver submissions related to EMR, OSHA citations, and safety performance.
- Partner with Sales, Onboarding, and Operations to ensure compliance readiness prior to service start.
- Maintain and update the company’s Safety Manual, ensuring alignment with customer vetting systems, compliance expectations, and internal operational needs.
- Maintain accurate compliance records and documentation for audit readiness.
- Assign required customer trainings in ISNetworld and Avetta for internal employees.
- Ensure proactive communication with team members regarding customer compliance updates, acknowledgments, and required documentation.
- Management of central group inbox for Contacts Department, with coordination to Sales on process and procedures to ensure efficiencies KPI’s are reached.
- Perform other duties as assigned.
This position does not have direct supervisory responsibilities.
Qualifications- Education (Min/Preferred)
- Minimum: 4‑Year/bachelor’s degree in Business, Legal Studies, Compliance, Risk Management

- Experience (3–5 years)
- Contract compliance, customer qualification, safety compliance, or related functions.
- Additional Knowledge, Skills, and Abilities
