General Statement of Duties

The Associate Director of Grants and Sponsored Programs is responsible for coordinating and supporting post award grant activities at Westfield State University. The Associate Director will facilitate faculty, staff, and administration efforts to manage and monitor resources in support of teaching, scholarship, research, work of discipline-related centers of excellence, and the mission and vision of non‑academic programs and offices at the university.

The Associate Director facilitates the management of institutional grants to further the strategic interests of the institution. They are responsible for proactively communicating with faculty, staff, and administration, and partnering with them in the management and completion of proposals which includes budget and reporting to funding agencies. This position is required to maintain records in accordance with state and federal regulations, adhere to Institutional procurement policies and procedures, manage contractual obligations, review all grant activities and expenses, assist the Executive Director in developing Institutional policies and procedures to ensure contract compliance, and provide guidance to grant recipients and project administrators.

Duties

and Responsibilities
  • Manage post award grants, supporting and enhancing faculty and staff programs in all disciplines, while adhering to state and federal regulations.
  • Collaborate campus‑wide in aligning faculty priorities, staff needs, the President's vision, and the University Strategic Plan to ensure program activities and research further WSU's goals of providing academic excellence and innovative research opportunities.
  • Develop, submit, and maintain grant reporting records such as progress or financial reports as defined or required by the funding agency.
  • Provide regular and robust education for the University community on grant management requirements.
  • Consult with faculty, staff and administration regarding methodology and compliance with granting agency requirements.
  • Work collaboratively with external partners to support the post‑award work of grants on behalf of Westfield State University.
  • Regularly monitor the status of proposals after submission, providing tracking and follow‑up.
  • Assist funded project administrators/principal investigators in compiling narrative and financial information to report to government agencies, foundations and corporations.
  • Serve as a liaison between grant recipients and the University's Finance Office to assist with appropriate accounting and reporting mechanisms.
  • Participate in University committees and activities relating to potential proposals, and to faculty professional development.
  • Other duties as assigned.
Qualifications
  • Master's Degree or commiserate experience.
  • Five years' experience as a higher education professional.
  • Experience in administration of sponsored programs.
  • Significant experience managing state and federal contracts.
  • Understanding of funding agencies' processes and regulations.
  • Outstanding communication and interpersonal skills and ability to work effectively with all campus constituencies.
  • Professional history of project management, credibility, leadership, creativity and collaboration.
  • Familiarity with appropriate computer applications including state and federal grant management portals.
