Job OverviewThe Mailroom Associate is responsible for the efficient handling, processing, and distribution of all incoming and outgoing mail, packages, and office supplies within a corporate environment. This role requires excellent attention to detail, strong organizational skills, and a customer service mindset to support the day-to-day operations of the facility.
Duties and Responsibilities- Receive, sort, and distribute all incoming mail, packages, and interoffice correspondence in a timely manner.
- Prepare, package, and process all outgoing mail and shipments using USPS, UPS, Fed Ex, and other courier services.
- Maintain accurate tracking logs for packages and deliveries.
- Operate mailroom equipment, including postage meters, label printers, copiers, and scanners.
- Monitor and maintain inventory of office supplies, restocking supply closets and distribution points as needed.
- Assist with conference room setups, office moves, and other facilities support duties when required.
- Provide exceptional customer service to employees, visitors, and vendors.
- Ensure compliance with company policies and security procedures for handling confidential documents and packages.
- Maintain a clean, organized, and safe work area at all times.
- Perform other duties as assigned by management.
- Strong verbal and written communication skills.
- Excellent customer service skills.
- PC skills – experience with MS Office Suite and mailroom software.
- Ability to handle multiple tasks simultaneously.
- Good organizational skills.
- Knowledge of MFD equipment.
- Understanding of shipping/receiving procedures.
- Ability to work independently and complete projects.
- Accuracy in packing materials and validation of packing slips.
- High school diploma or equivalent.
- 2+ years experience in a corporate mailroom or facilities environment.
- Strong customer service skills with a professional demeanor.
- Proficiency in Microsoft Office, Outlook, Teams, and standard mailroom software or tracking tools.
- Ability to multitask and prioritize in a fast‑paced environment.
- Strong attention to detail and accuracy.
- Team‑oriented with excellent communication skills.
- Ability to lift up to 50 pounds and stand for extended periods.
- This position is based in a professional corporate setting and requires physical activity, including lifting, carrying, and walking throughout the facility.
