Position Overview
The Church Administrator is responsible for overseeing the day-to-day operations of the church office and providing comprehensive administrative support to pastoral staff and church leadership. This role ensures effective communication, efficient office management, and logistical coordination across all areas of church life. The Church Administrator serves as the primary point of contact for inquiries, manages church systems and records, and facilitates property and event logistics.
This position requires a dedicated professional who is self-directed with a strong sense of ownership, discretion, and a commitment to supporting the mission and ministries of Faith Covenant Church.
1. Church Office & Administrative Support Serve: as the primary administrative support for pastors.
- Act as the first point of contact for individuals reaching out to the church by phone, email, and in person.
- Manage the day-to-day operations of the church office, including but not limited to:
Schedule and supervise custodial staff and office volunteers;
Handle all incoming and outgoing mail and deliveries;
Manage inventories and purchase supplies for all ministries;
Keep hospitality areas well-stocked;
Ensure facilities are clean, safe, and well-maintained;
Maintain organized digital and physical records, calendars, and office systems;
Administer church database systems (e.g. Tithely, Notebird);
Update membership records. - Train other users how to use church systems effectively
- Prepare agendas and take notes for weekly staff meetings
- Admin Support for Leadership Council:
Materials for congregational meetings;
Collect ministry team and committee meeting minutes. Archive minutes in church digital files;
Assemble annual report;
Register delegates for annual meetings;
Support stewardship committee with mailings and planning cards - Regularly review and update team and committee handbooks, policies, and procedures to ensure alignment with current bylaws and appropriate implementation.
- Process background checks and maintain all records for staff and volunteers
- Onboard new employees/interns and manage appropriate documentation:
File appropriate tax and employment documentation, including necessary information to the finance committee for payroll;
Maintain staff vacation calendar. - Prepare weekly ministry dashboard
- In collaboration with ministry team leaders, coordinate appropriate care-related gestures (e.g. set up meal trains, order flowers, purchase gifts)
2. Communications
- Manage production and distribution of all church communications and publications, including weekly bulletin, weekly newsletter, social media, website, church app, children’s worship bulletins, E-mails, flyers, and mailers.
- Manage church website, app, and calendar.
- Update church podcasts (Spotify and Apple) and maintain a consistent online presence.
- Create graphics and visual media using tools like Pro Presenter and Canva
- Oversee photography and videography for all events
- Supervise church branding efforts and ensure all communications and other publications reflect the church’s mission, values, and visual identity.
3. Property Management:
Serve as the primary weekday contact for building access, maintenance, vendors, contractors, and security.
4. Event & Program Logistics:
Assist ministry leaders with communication and event planning forms; help ensure all logistical details are addressed; provide project management support as needed
5. Other Duties as Assigned:
The Church Administrator may be asked to perform additional responsibilities as needed to support the mission, operations, and ministries of Faith Covenant Church.
- A vibrant personal faith.
- 1 to 3 years of experience in administrative support, preferably in a church or nonprofit setting.
- Strong organizational and interpersonal communication skills (written, verbal, and non-verbal), with excellent attention to detail.
- Ability to anticipate needs and act independently.
- Proactively monitors operations and implements improvements before issues arise.
- Shows resourcefulness and initiative in recognizing and resolving issues independently when they do arise.
- Ability to manage multiple tasks and competing priorities effectively to meet deadlines.
- Consistently seeks ways to improve systems and workflows.
- Proficiency in office software (e.g., Microsoft Office, Google) and church database systems (e.g., Tithely, Notebird).
- Ability to use graphic design and media tools (e.g., Canva, Microsoft Office, media editing software)
- Discretion, professionalism, and a heart for ministry.
