We are pleased to offer the opportunity to work as a Project Coordinator within the DuPage County Community Services Department in the Community Development unit. This position is responsible for the organization of project records and overall tracking and reporting of project performance under federal and locally funded grant programs.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The list of duties and responsibilities is illustrative only, and is not a comprehensive listing of all the duties and responsibilities performed by positions in this class.

  • Collects, compiles, photocopies, assembles and distributes materials for meetings and/or other informational packets using identified sources
  • Prepares letters, memos, and other correspondence
  • Files documentation using prescribed methods
  • Oversees and orders inventory of office supplies, equipment and services with prescribed procedures and contractual agreements
  • Screens telephone calls, emails, and visitors to determine the nature of requests or needs
  • Answers complex inquiries regarding applicability of federal and local regulations and departmental and County policies to the public, sub‑grantees, contractors, and/or program participants on a routine level
  • Prepares reports, charts and tables by gathering, compiling and typing data following established procedures or format
  • Organizes project records and maintains documentation to demonstrate compliance with applicable federal and local regulations and departmental and County policies
  • Maintains assigned program and/or project databases to ensure accuracy of information and record‑keeping requirements
  • Applies knowledge to determine eligibility of program participants
  • Tracks overall project performance and assures timeliness of individual compliance activities, which may include inspection of projects
  • Tracks funding for projects e.g. (loans, grants, etc.) and ensures long‑term compliance related to funding/project type
  • Reviews sub‑grantee and/or contractor payment claims for complete documentation and assists in payment processing
  • Completes assigned projects and activities independently
  • Provides recommendations to superiors for improved procedures and contributes to the development of program direction and implementation
  • Prepares and presents information on programs to employers, community groups, and/or residents
  • Develops local procedures for project coordination
EDUCATION and/or EXPERIENCE

Completion of a Bachelor’s degree in Public or Business Administration, Planning or related field; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

CERTIFICATES, LICENSES, REGISTRATIONS

Must possess and maintain in good standing a valid Illinois driver’s license.

The preferred candidate will have experience
  • Knowledge of basic real estate documents and basic construction practices preferred.
  • Strong clerical skills.
