Madison Approach Staffing is recruiting for a dynamic Assistant Property Manager/Leasing Agent to join a client’s property management team. The role manages the leasing process, ensures compliance with Fair Housing regulations and state landlord‑tenant laws, and delivers exceptional customer service to prospective and current tenants. Responsibilities include conducting property tours, preparing lease agreements, maintaining tenant relationships, and using Yardi software for all leasing activities.
Responsibilities- Conduct professional property tours and showcase available rental units to prospective tenants.
- Assist in the full leasing process: prepare, review, and execute lease agreements while ensuring compliance with landlord‑tenant law and Fair Housing regulations.
- Utilize Yardi property management software for data entry, lease processing, tenant tracking, and report generation.
- Provide excellent customer service by promptly addressing tenant inquiries via phone, email, and in‑person interactions.
- Manage tenant relationships throughout the lease lifecycle and resolve conflicts professionally.
- Collaborate with maintenance teams to ensure units are well‑maintained and move‑in ready.
- Coordinate move‑in and move‑out processes, including unit inspections and security deposit processing.
- Maintain accurate records of leasing activities, applications, tenant files, and correspondence.
- Process rental applications, verifying employment, income, references, and conducting background and credit checks.
- Perform administrative tasks, including answering phones, filing documents, and supporting leasing office operations.
- Stay current on Fair Housing regulations, landlord‑tenant laws, and industry best practices.
- Market available units and respond to rental inquiries from various lead sources.
- Prepare lease renewal documents and work with existing tenants to secure renewals.
- Collect application fees, security deposits, and rent payments as required.
- Proven experience in property management or real estate administrative roles.
- Proficiency in Yardi property management software.
- Familiarity with landlord‑tenant law, Fair Housing regulations, and leasing compliance requirements.
- Proficiency in Microsoft Office (Excel, Word, Access).
- Excellent customer service skills with a focus on tenant relationships.
- Strong conflict resolution and problem‑solving abilities.
- Excellent verbal and written communication skills with professional phone etiquette.
- Strong organizational skills and attention to detail.
- Ability to multitask and manage multiple priorities in a fast‑paced environment.
- Ability to work independently with minimal supervision while collaborating within a team.
- Reliability and consistent attendance during business hours.
- Real estate license or certification.
- Experience with facilities management and property operations.
- Knowledge of local rental market conditions in White Plains.
- Experience with rent collection and accounts receivable.
- Familiarity with lease administration and tenant retention strategies.
- Background in sales or marketing for residential properties.
- Experience conducting property inspections and documenting unit conditions.
- Knowledge of Americans with Disabilities Act (ADA) requirements for housing.
- Bilingual capabilities (Spanish or other languages).
- Experience with multiple property management software platforms.
- Understanding of property insurance and risk management.
- Full‑time:
Monday through Friday, occasional weekend availability for property tours. - On‑site:
