Casual Unit Clerk, Medicine Inpatient to join the Medicine team at Peace Arch Hospital located in White Rock, B.C.

Detailed Overview

Under general supervision, performs a variety of clerical duties related to the operation of a patient care area such as acting as a communication link, transcribing and processing physicians' orders, coordinating with other departments and facilities, coordinating patient appointments, arranging patient tests and receiving results, receiving and directing visitors, and assembling and maintaining patient charts.

Responsibilities
  • Prioritize, process, coordinate and transcribe physicians' orders by copying information, completing required forms and/or entering information into the computer and distributing information; perform follow‑up as necessary.
  • Schedule, book and coordinate patient appointments by receiving appointment requests, arranging appropriate appointment dates and times, making follow‑up appointments, adjusting appointments as required in accordance with patient and facility requirements; arrange patient tests; maintain appointment diaries.
  • Act as a communication link for the assigned area by contacting other facilities and departments, including bed booking to exchange information regarding bed availability to assist admissions, discharges and/or patient transfers; receive patient tests, and receive visitors, provide information and direct to appropriate area.
  • Assemble and maintain patient charts according to established procedures; transcribe patient data into applicable health record system; attach patient documents such as lab and/or special examination reports to chart; dismantle and forward discharged patient records to Health Records.
  • Answer telephones, transfer calls, take messages, answer routine inquiries or refer as appropriate; open and distribute mail as required.
  • Perform related clerical duties such as data entry, filing, compiling, preparing and maintaining statistics and related reports; deliver and pick up items; maintain and order stationery and supplies through stores; arrange for and track equipment repairs as required.
  • Maintain timekeeping records for regular and casual staff and submit/enter to payroll system as required; receive and process requests such as vacation, leaves of absence and terminations by preparing necessary documentation and forwarding to the Manager, Clinical Services or designate for approval.
  • Accept calls from nursing staff regarding illnesses and/or absence from work and communicate information received to nursing unit and appropriate person; call in relief nursing staff according to pre‑determined guidelines and refer problems to the Manager, Clinical Services or designate.
  • Maintain records on relief staff such as names, address, contact phone number, availability for work, suitable work area and hours worked.
  • Perform other related duties as required.
Qualifications

Education and Experience

Grade 12, medical terminology and graduation of a recognized Nursing Unit Clerk program, plus one year of recent, related experience or an equivalent combination of education, training and experience.

  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal with others effectively.
  • Physical ability to carry out the duties of the position.
  • Ability to type at 40 words per minute.
  • Ability to organize work.
  • Ability to operate related equipment.
