Position Summary:
The Sales Assistant is an in-office role responsible for providing dedicated administrative, sales, and customer support to an Outside Sales Representative. This position ensures sales activities are executed efficiently, customer needs are addressed promptly, and sales opportunities progress smoothly from initial inquiry through order fulfillment.
Key Responsibilities:
Direct Support to Outside Sales
- Provide dedicated administrative and operational support to an assigned Outside Sales Representative
- Prepare and process quotes, sales orders, contracts, and bid packages based on outside sales representative input
- Coordinate calendars, customer follow-ups, and documentation to support sales activities
- Track open opportunities and assist with follow-up communications as directed
Customer & Internal Coordination
- Act as the primary in-office point of contact for customers while the Outside Sales Representative is in the field
- Respond to customer inquiries regarding pricing, availability, order status, and documentation
- Coordinate with purchasing, accounting, and other internal departments to ensure accurate order processing and timely delivery
- Maintain accurate customer records, sales activities, and pipeline data within the CRM system
- Monitor order progress, invoicing, and delivery status, escalating issues as needed
- Generate sales reports, activity summaries, and pipeline updates for management and the sales representative
Documentation & Compliance
- Assist with bid submissions, proposals, and required supporting documentation
- Ensure sales documentation complies with company policies and procedures
- Organize and maintain electronic and physical sales files
Qualifications & Experience:
- High school diploma required; post-secondary education in business or a related field preferred
- One to three years of experience in sales support, administrative support, or customer service
- Experience supporting an outside or field-based sales team preferred
- Strong organizational and multitasking skills
- Excellent written and verbal communication abilities
- High attention to detail and accuracy
- Ability to work independently while supporting a field-based sales professional
- Proficiency with CRM systems and Microsoft Office applications
- Quick Books background preferred
Working Conditions:
- Frequent communication with customers and an Outside Sales Representative via phone and email
- Periodic deadline-driven workload aligned with sales cycles
- Some travel during working hours may be required
Performance Measures:
- Timeliness and accuracy of quotes, sales orders, and sales documentation
- Responsiveness to customer and Outside Sales Representative requests
- Accuracy of CRM data and reporting
- Contribution to sales efficiency and customer satisfaction
Pay: $40,000.00 - $48,000.00 salary plus commission
