We are seeking a professional, organised and compassionate Medical Secretary to join our busy GP practice team. The successful candidate will play a vital role in supporting clinicians and ensuring the smooth administration of patient care.
As the first point of contact for many administrative processes, you will be responsible for managing clinical correspondence, processing referrals, maintaining accurate patient records and providing efficient secretarial support to the practice team. Excellent communication, organisational and IT skills are essential, along with the ability to work accurately in a fast-paced environment whilst maintaining confidentiality at all times.

Main duties of the jobThe Medical Secretary will provide comprehensive administrative and secretarial support to the clinical team. Duties include processing referrals, managing clinical correspondence, typing and distributing letters, maintaining accurate patient records, liaising with hospitals and external healthcare providers, handling enquiries, and ensuring all work is completed in accordance with NHS policies, confidentiality requirements and practice procedures.
Secretarial Duties- Provide secretarial support to GPs and other clinicians as required.
- Process incoming and outgoing clinical correspondence in a timely manner.
- Type, proofread and distribute letters, reports and other documents.
- Manage electronic workflows and ensure correspondence is appropriately actioned.
- Maintain accurate and up-to-date patient records using the clinical system.
- Prepare and process referrals to secondary care and community services.
- Track referrals and respond to queries from patients, hospitals and other healthcare providers.
- Ensure urgent referrals are processed promptly in accordance with practice procedures.
- Act as a point of contact for hospitals, community services and external agencies.
- Communicate effectively with patients, clinicians and colleagues.
- Handle telephone and email enquiries in a professional and courteous manner.
- Assist with the management of clinical reports, test results and other documentation.
- Support practice administration processes as required.
- Maintain filing systems and ensure records are stored securely.
- Maintain strict confidentiality in relation to patient, staff and practice information.
- Comply with Data Protection legislation, NHS policies and practice procedures.
- Ensure information is handled securely and accurately at all times.
- Work collaboratively as part of the wider practice team.
- Participate in training and development activities.
- Contribute to the continuous improvement of practice services.
- Undertake any other reasonable duties appropriate to the role and grade.
- Previous administrative or secretarial experience.
- Excellent organisational and time management skills.
- Strong verbal and written communication skills.
- Good IT skills, including Microsoft Office applications.
- Ability to prioritise workload and work under pressure.
- Understanding of confidentiality and data protection requirements.
- Ability to work effectively as part of a team.
- Previous experience working within a GP practice, NHS or healthcare setting.
- Knowledge of medical terminology.
- Experience of referral management processes.
- Experience using NHS clinical systems.
