The Court Transcriptionist will provide court reporting and transcription services for DoD/Military clients. The role involves listening to audio recordings and typing them into a written record, using word‑processing or stenotype machines. The specialist must ensure grammar is correct, the transcript is accurate, and confidentiality standards are met.
Key responsibilities include:
- Operate word‑processing, dictation, and transcription equipment efficiently and accurately.
- Follow log notes and worksheet to identify all speakers and document reactions and gestures.
- Listen to audio files, type contents, and convert them into text.
- Complete transcriptions promptly, reviewing grammar, punctuation, and spelling before submission.
- Maintain, clean, and troubleshoot computer and transcription equipment.
- Protect client confidentiality in line with government regulations.
- Proofread and correct transcripts, ensuring accurate representation of on‑record and off‑record content.
- Provide read‑back or playback of real‑time transcripts when requested.
- Ask speakers for clarification when needed to ensure accuracy.
- Use transcription software, update dictionaries, and recommend upgrades when appropriate.
- Interact with trial staff to moderate proceedings and resolve errors quickly.
- Deliver printed and electronic copies of transcripts to the court and involved parties.
- Commit to a Monday‑through‑Friday schedule.
QUALIFICATIONS
- At least 2 years of full‑time, paid reporting experience, preferably in court reporting.
- Good command of English grammar, punctuation, spelling, and legal terminology.
- Fast and accurate typing skills with proofreading ability; meet deadlines independently.
- Strong research, language, computer, and management skills.
- Highly reliable, meticulous, and capable of independent work.
- Demonstrated writing skills with excellent grammar, spelling, and punctuation.
- Business Office experience and familiarity with Microsoft Windows.
- Comprehensive knowledge of legal terminology and the legal system.
SKILLS AND ABILITIES
- Deep interest in the criminal justice system and ability to capture words accurately.
- Excellent concentration and focus during long periods of listening.
- Detail‑oriented to produce error‑free transcripts.
- Strong verbal communication, listening, and computer skills.
- Experience communicating with legal audiences under deadline pressure.
- Proficiency with Microsoft Office, Zoom, and Google Chrome.
- Fluency in English (or preferred language).
- Physical stamina to bend, lift, reach, walk, stand, and sit for extended periods.
- Self‑motivated, organized, and exercise discretion with confidentiality.
- Professional demeanor and ability to present a favorable impression.
EDUCATION AND EXPERIENCE
- High School Diploma or GED required.
- Minimum 2 years experience as a Court Reporter, Legal Transcriptionist, or Stenographer.
- Completion of apprenticeship or internship training and certification from a recognized court‑reporting agency or equivalent combination of education and experience.
- Typing speed of at least 85 words per minute.
- Legal or paralegal background desirable.
LICENSING REQUIREMENTS
- Valid State Public Notary License (Approved and Up‑to‑Date).
- Certified Notary Public preferred.
- NCRA Registered Professional Reporter (RPR) certification if no state license.
- Professional Certification as a Certified Shorthand Reporter (CSR) or Verbatim Reporter (CVR) where applicable.
- Stenography experience of 2 years preferred.
- Valid driver’s license.
- United States Citizenship required.
- Microsoft Office proficiency.
- Eligible for a “Facility Access Authorization” per USG requirements.
