Job Description

Delaware Camera Systems is excited to announce an opening for a full-time Office Assistant. As we continue to grow and expand our services, we require a dedicated individual to support our dynamic team. This vital position is suited for someone who thrives in a fast-paced environment and wishes to forge a career in administrative support. Please note, this is an onsite position and is not eligible for remote work.

The right candidate will play a fundamental role in the daily administrative operations, assisting management in various tasks, and contributing significantly to our growth objectives. Duties and Responsibilities
  • Answer and direct phone calls to relevant staff.
  • Schedule meetings and appointments; maintain calendar events for management.
  • Create quotes and invoices for client transactions and ensure they are sent timely.
  • Assist in the preparation and organization of documentation and reports.
  • Work on assigned projects aimed at business growth and expansion initiatives.
  • Coordinate logistics for internal events and presentations.
  • Handle incoming and outgoing correspondences and ensure items are distributed and stored appropriately.
  • Provide clerical support to management and other staff.
  • Maintain and ensure a clean and organized office environment daily.
  • Manage supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
  • Assist in the follow-up with clients when necessary.
  • Support bookkeeping and budgeting procedures for the office.
Requirements
  • Proven experience as an office assistant or in another relevant administrative role.
  • Strong organizational and planning skills.
  • Strong communication skills, both verbal and written.
  • Pleasant and professional demeanor.
  • Punctual, with a strong sense of time management.
  • Proficiency in the Microsoft Office 365 suite of products.
  • Ability to handle multiple tasks with attention to detail.
  • Capability to work both in a team and independently when needed.
  • Evidence of the ability to practice a high level of confidentiality.
  • Excellent documentation skills.
  • Bachelor’s degree in business administration, communications, or a relevant field preferred.
