Job Summary:
The Medical Clinic Assistant Manager supports the daily operations of the medical clinic, non-invasive imaging laboratory (NIVL), and office-based laboratory (OBL) to ensure efficient workflows, high-quality patient care, and compliance with healthcare regulations. This leadership role integrates responsibilities of staff supervision, patient services, scheduling, and administrative functions while acting as a liaison between clinical staff, administrative teams, and management.
Key Responsibilities:
Operations & Administration:
· Assist in managing daily clinic operations to ensure smooth, timely, and efficient delivery of healthcare services.
· Support implementation of clinic policies, procedures, and workflows.
· Ensure compliance with healthcare regulations, safety standards, and privacy laws (e.g., HIPAA)
· Monitor clinic performance and aid with process improvements.
· Serve as initial administrative oversight of clinical operations, NIVL, and OBL operations, including assistance with accreditation, quality improvements, and maintenance of certification.
· Oversee staff education, on-boarding, and credentialing.
Staff Support & Supervision:
· Assist in supervising front desk, OBL staff, and support staff.
· Help with staff scheduling, timekeeping, onboarding, and training.
· Address staff about concerns and escalates issues to the Clinic Manager, as needed.
· Promote and ensure a positive, professional, and patient-focused work environment.
· Ensure a welcoming, timely, and quality patient experience from check-in to check-out.
· Assist in handling patient inquiries, complaints, and service recovery.
· Support appointment scheduling, referrals, and follow-up coordination.
Billing & Financial Support:
· Assist with insurance verification, billing processes, and claims follow-up.
· Monitor cash handling, co-pay collection, and daily deposits.
· Support inventory management and ordering medical and office supplies.
Communication & Coordination:
· Function as a primary point of contact between staff and management
· Assist in preparing reports, documentation, and correspondence
· Support provider schedules and clinic coverage needs
Qualifications:
· Bachelor’s degree in healthcare administration, Business Administration, or Nursing (preferred)
· 2–4 years of experience in a medical clinic or healthcare administrative role
· Prior supervisory or leadership experience preferred
· Knowledge of medical terminology, insurance processes, and EHR systems
· Strong organizational and multitasking abilities
· Excellent communication and interpersonal skills
· Leadership and team-support skills
· Attention to detail and problem-solving abilities
· Proficiency in Microsoft Office and electronic health record (EHR) systems
· Fast-paced medical clinic setting
· May require standing, walking, and occasional lifting
