Role Overview

The Office Manager will take ownership of the smooth day-to-day running of 54’s Wimbledon headquarters, creating a safe, welcoming and efficient workplace for colleagues, clients and visitors. This varied, hands-on role combines workplace and facilities management with first-line IT support, general team administration and occasional ad-hoc administration support to the Leadership Team. We are looking for an experienced and proactive individual who can work independently, use sound judgement and see tasks and issues through from start to finish.

Your core focus will be Office Management, alongside basic IT support and administration. You may, from time to time, be asked to provide ad-hoc administrative support for the Leadership Team when needed, with the trust to use your judgement, introduce improvements and follow actions through to completion.

You will bring practical workplace or facilities management experience and be comfortable working independently, prioritising competing demands and taking ownership from start to finish. Experience of basic IT support and administration will help you succeed in this varied role.

Key Responsibilities

Workplace and Office Management

  • Take day-to-day leadership of 54 HQ, Supplier Management, workplace projects and health and safety compliance.
  • You will work with the HR team to create an inclusive, high performing and supportive workplace culture.
  • Maintain workplace standards.

Office Operations & Technology

  • Manage day-to-day office administration, including supplies, equipment, post, couriers, records, desk booking, SharePoint administration and visitor arrangements.
  • Look for practical ways to simplify processes, improve systems and create a better day-to-day workplace experience.

IT Support & Workplace Systems

  • Provide support for common hardware, software, connectivity, user-access and meeting-room technology issues, resolving straightforward problems and escalating to external providers.
  • Liaise with technology providers and coordinate hardware procurement and manage internal inventory.
  • Own the workplace and IT elements of employee onboarding and offboarding.

People & Leadership Support

  • Provide accurate and confidential administrative support under the direction of HR Management.
  • Work closely with the People Team to help new starters feel prepared and welcomed and to support an organised offboarding experience.
  • Coordinate workplace events, office activities and leadership sessions, including communications, logistics and suppliers.
  • Provide practical ad-hoc operational and administrative support to the Leadership Team, including meetings, offsites, workshops and agreed actions, while maintaining focus on the role’s core priorities.

Skills & Experience

Essential

  • Practical office management experience, with hands-on responsibility for a busy office and confidence working independently, using sound judgement and taking ownership from start to finish.
  • Experience managing suppliers, contracts and external service providers.
  • Practical first-line IT support experience and confidence escalating complex problems to external providers.
  • Experience providing accurate and confidential workplace-related administration, with an understanding of when to escalate people-related matters to the People Team.
  • Strong organisation, prioritisation, problem-solving and communication skills, with the ability to manage multiple work streams and build effective relationships at all levels.
  • Confidence using Microsoft 365 and workplace collaboration tools, with the ability to help colleagues resolve common user issues.

Desirable

Experience in a fast-paced agency or professional-services environment, workplace projects or relocations, internal communications, HR systems or workplace technology solutions would be useful. A relevant health and safety, workstation assessment or facilities management qualification would be advantageous.
