As the central point of contact for customers, engineers, monitoring centres and police authorities, you will play a key role in ensuring the smooth day-to-day running of the business.
The Role Reporting to the management team, this is a varied and fast-paced position where you'll play a vital role in supporting customers, engineers and the wider business.
Key responsibilities include:
Acting as the first point of contact for customer enquiries via telephone and email, delivering a professional and efficient service. Managing shared inboxes and ensuring all queries are directed to the appropriate department. Planning and coordinating engineer schedules, including booking maintenance visits and customer appointments. Maintaining accurate customer records, setting up new accounts and updating information across internal databases. Processing alarm monitoring applications, keyholder changes and system testing requests.
Supporting customers with alarm resets, alarm log requests and general administrative queries. Preparing and issuing customer documentation, including contracts, specifications and correspondence. Managing URN (Unique Reference Number) applications and ensuring records remain up to date and compliant. Producing reports and maintaining detailed records to support operational activities. Processing customer contract terminations and completing all associated administration. Taking customer payments over the phone and updating Sage records (full training can be provided) Supporting general office administration.
Assisting with compliance and administrative duties, ensuring all documentation is accurately maintained and filed. You must have:
Previous experience in an administrative or customer service-based role. Strong organisational skills with the ability to manage multiple tasks and priorities simultaneously. A confident, professional and friendly telephone manner. Excellent attention to detail and a high level of accuracy. Good working knowledge of Microsoft Office, including Word, Excel and Outlook. GCSE English and Maths (Grade C/Level 4 or equivalent). The ability to work independently while remaining a collaborative team player.
A flexible and adaptable approach within a busy office environment. Strong problem-solving skills and the ability to use initiative when required. A enhanced DBS will be carried out for this role.
