PAYROLL TAX SPECIALIST

LOCATION: Hybrid, Full-Time

POSITION SUMMARY

The Payroll Tax Specialist supports U.S. and Canadian payroll tax compliance and reconciliation across multiple jurisdictions. Your payroll tax expertise will help ensure accurate filings, regulatory compliance, and continuous improvement in a collaborative, high‑integrity team environment.

WHAT YOU WILL DO
  • Support payroll tax compliance across U.S. and Canadian federal, state/provincial, and local jurisdictions
  • Maintain payroll tax registrations, jurisdiction setup, and account updates in ADP and in‑house payroll systems
  • Partner with ADP to resolve tax notices, remittance issues, and system fallouts
  • Review new hires, transfers, cross‑border workers, and terminations to ensure accurate tax setup
  • Validate payroll tax calculations each pay period, including complex or irregular scenarios
  • Complete monthly remittance reconciliations (e.g., WSIB, WCB, EHT) and ensure timely payments
  • Investigate and resolve payroll tax discrepancies, audits, and government notices
  • Support U.S. quarter‑end and U.S./Canadian year‑end processes (W‑2s, T‑4s, Relevé 1, etc.)
  • Maintain payroll tax jurisdiction data and cross‑border tracking
  • Monitor legislative changes and support payroll tax process improvements
WHAT YOU NEED TO BE SUCCESSFUL
  • 5+ years of experience in end‑to‑end payroll processing and payroll tax compliance across U.S. and Canadian jurisdictions
  • Hands‑on experience working with ADP and in‑house payroll systems, including payroll‑tax setup, filings, remittances, and issue resolution
  • Working knowledge of U.S. and Canadian payroll tax legislation and year‑end requirements (W‑2, W‑2C, T‑4, Relevé 1, WSIB/WCB, EHT, CSST)
  • Proven ability to reconcile payroll tax filings, remittances, and government notices, including resolving discrepancies and system fallouts
  • Experience supporting payroll tax registrations, jurisdiction setup, unemployment rates, and account maintenance
  • Intermediate to advanced Excel skills for reconciliations and tracking (pivot tables, lookups, formulas)
  • Experience working in controlled environments with audit readiness and internal controls (ICFR/SOX exposure an asset)
  • Strong attention to detail, data integrity mindset, and comfort handling sensitive payroll and employee data
  • Ability to manage multiple priorities and deadlines in a high‑volume payroll environment
  • Strong communication skills for working with vendors (e.g., ADP), government agencies, and internal stakeholders
