Position Overview
The Scheduling Clerk is the subject matter expert responsible for the day‑to‑day coordination of human resource staffing, including assigning and maintaining staff schedules, staffing relief and on‑call shifts, and necessary data entry and record keeping. Working closely with leadership, the scheduling clerk ensures compliance with collective‑agreement scheduling rules with the aim of creating cost‑effective schedules that reduce overtime and agency resource needs.
The incumbent exercises the appropriate level of initiative and independent judgment in determining work priorities and methods, and in resolving unusual matters. The position functions consistently with the mission, vision, values and policies of Southern Health‑Santé Sud.
Responsibilities- Coordinate day‑to‑day human resource staffing, assign and maintain staff schedules, staffing relief and on‑call shifts.
- Enter and maintain data and records related to scheduling.
- Ensure compliance with collective‑agreement scheduling rules, aiming to reduce overtime and agency costs.
- Exercise independent judgment in prioritising work and resolving unusual matters.
- Maintain required records such as a satisfactory criminal record check, vulnerable sector search, adult abuse registry check, and child abuse registry check; cover any service charges incurred.
- Complete and maintain required vehicle insurance and a valid Class5 driver’s licence.
- Minimum one (1) year of experience with electronic employee scheduling applications.
- Minimum three (3) years of experience in a health‑care environment.
- Grade
12 education or equivalent. - Preference given to applicants trained on ESP scheduling software.
- Other combinations of education and experience may be considered.
- Proficiency in Microsoft Office applications, particularly Excel, Outlook and Teams.
- Working knowledge of collective agreements.
- Working knowledge of standard office equipment.
- Demonstrated ability to schedule staff in a computerized scheduling system.
- Strong oral and written communication skills.
- Ability to work effectively in a collaborative interdisciplinary workplace.
- Ability to act independently and make decisions.
- Analytical and problem‑solving skills.
- Ability to work independently with minimal supervision and as a team member.
- Ability to meet tight deadlines in a time‑sensitive environment.
- Respect and promotion of cultural diversity and bilingual proficiency in both official languages.
- Respect for confidentiality across paper and electronic formats.
- Good work and attendance record.
- Valid Class5 driver’s licence, all‑purpose insured vehicle and liability insurance of at least $1,000,000.
- Ability to meet the physical and mental demands of the role.
- No hazardous or significantly unpleasant conditions.
- Occasional work evenings and weekends as necessary.
- May be required to travel to other regional facilities.
This temporary term position may end earlier as outlined in the collective agreement.
