Position Overview
Shared Health leads the planning and coordinates the integration of patient-centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.
Under the general supervision of the Manager, Health Services, the incumbent is responsible for the effective and efficient provision of administrative and secretarial support to the Physiotherapy Department.
Responsibilities- Assisting the Manager of Health Services with administrative functions and establishing priorities.
- Assisting the Manager with the ongoing monitoring and analysis of operating budgets and expenditures.
- Assisting the Manager of Health Services in dealing with confidential Human Resources and Finance related information and tasks.
- Payroll entries in ESP and SAP for the relevant departments.
- Coordinating meetings, attending and recording minutes.
- Designing, formatting, collating, entering and compiling statistics and generating reports for the Manager, Health Services.
- Supervising the secretarial component of the Rehab Assistants by establishing work procedures, monitoring effective and timely management of assigned duties and follow-up.
- Acting as a liaison between the Physiotherapy Department and other HSC departments, government agencies and external organizations as delegated by the Manager, Health Services.
- 3 years previous experience in a senior secretarial position requiring considerable communication with staff at all levels in the organization.
- Complete high school education, Manitoba Standards, required.
- Successful completion of a recognized secretarial training program required.
- Certificate courses in supervision/administration/management preferred.
- A combination of education and experience may be considered.
- Typing 65-70 wpm.
- Medical terminology required.
- Demonstrated proficiency in the use of Microsoft Office (Word, Access, Excel, PowerPoint and Outlook) required.
- Proficiency in the Workforce ESP (ESP) timekeeping system and SAP required.
- Proficiency in the Electronic Patient Record (EPR) system preferred.
- Must have excellent English communication skills (written and verbal) and strong interpersonal skills.
- Preference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, traditions and values.
- Frequent interruptions, noise, and frequent review/revision of workload priorities.
- Contact with staff, patients and public.
This position requires a current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check and Adult Abuse Registry Check as conditions of employment. The successful candidate will be responsible for any service charges incurred. A security check is considered current if it was obtained no more than six (6) months prior to the start of employment.
