Position: Job Posting – Program Coordinator

The KIM team invites applicants to apply for the following exciting opportunity!

Reporting to the Director of Operations, the Program Coordinator provides high-level administrative, operational, program coordination, and communications coordination support to the Director of Operations and the Director, Strategic Communications and Issues Management. This role supports two interconnected leadership portfolios by helping organize priorities, coordinate workflows, track deliverables, prepare documentation, support meetings, maintain records, and ensure timely follow-up on operational and communications-related activities.

This position functions as a central coordination point across operations, administration, internal processes, strategic communications, issues management, program activities, stakeholder engagement, reporting, and executive support. The Program Coordinator helps maintain effective information flow between senior leaders, managers, staff, partners, vendors, communities, and other stakeholders while exercising sound judgment, discretion, professionalism, tact, and strict confidentiality.

Candidates with roots to a northern First Nation community will be given preference.

The successful candidate will be responsible to:
  • Provide high-level administrative, operational, program coordination, and communications coordination support to the Director of Operations and the Director, Strategic Communications and Issues Management.
  • Manage, coordinate, and optimize calendars, meetings, appointments, deadlines, travel arrangements, itineraries, logistics, and follow-up activities for assigned leadership portfolios.
  • Research, draft, edit, format, and coordinate briefing notes, reports, presentations, speaking notes, correspondence, meeting packages, agendas, minutes, action logs, decision records, and other leadership materials.
  • Track operational and communications priorities, deliverables, workplans, deadlines, approvals, action items, project milestones, reporting requirements, and follow-up commitments to support timely completion.
  • Serve as a coordination point between Directors, senior leaders, managers, staff, project leads, vendors, external partners, and community contacts to support workflow, information sharing, and operational alignment.
  • Support operational planning and coordination by maintaining task lists, project trackers, document repositories, issue logs, contact lists, meeting records, program files, and other organized systems that support efficient portfolio management.
  • Assist with monitoring and coordinating administrative, finance, human resources, information management, IT, communications, vendor, and project-related follow-up items connected to the Operations portfolio.
  • Support communications coordination activities, including maintaining communications calendars, tracking communications requests, organizing approval processes, coordinating content development timelines, and supporting internal and external communications products.
  • Own the established monthly internal reporting process, including collecting updates, preparing the monthly summary, and reporting information back to senior leadership.
  • Work with the office of the CEO to maintain accurate Nation leadership and stakeholder information in the mailing list tool, including distribution lists for internal and external mailing lists.
  • Serve as a point person for general inquiries related to communications or operational matters by receiving, tracking, coordinating responses, escalating as appropriate, and ensuring timely follow-up on assigned items.
  • Coordinate meetings, workshops, events, briefings, teleconferences, video conferences, boardroom bookings, agendas, materials, attendance, minutes, and post-meeting follow-up for operational and communications-related activities.
  • Support program coordination functions by organizing workplans, tracking deliverables, collecting updates, maintaining records, coordinating logistics, supporting outreach, and preparing status summaries for leadership review.
