IntroductionAre you an organized, service-oriented professional who thrives in a fast-paced environment? The Regional Social Services Branch of the Department of Families is seeking a Bilingual Administrative Secretary to provide essential administrative, reception, and office support services. As a key member of the team, you will help ensure the efficient delivery of programs and services by supporting staff, clients, and community partners across the region.
Duties- Provide reception and switchboard services and respond to general inquiries.
- Deliver administrative support to regional programs and staff.
- Coordinate meetings, schedules, mail, and correspondence.
- Maintain accurate filing systems, records, and archived documents.
- Process and verify expense claims, mileage submissions, and related records.
- Support regional data management and administrative systems.
- Provide administrative coverage at regional offices as required.
- Perform other related duties as assigned.
- Experience performing varied administrative and clerical support in a fast-paced office environment.
- Experience performing reception duties, including screening and directing calls, operating multi-line phone systems, and responding to client and public inquiries.
- Experience handling sensitive information with confidentiality, discretion, and professionalism.
- Experience working with Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint) or similar software applications.
- Effective English written communication skills.
- Effective French written communication skills.
- Demonstrated ability to effectively organize and manage workload to consistently meet deadlines in a fast-paced work environment.
- Strong interpersonal skills with the ability to work effectively and build relationships with colleagues and clients.
- Ability to take initiative and work independently with minimal supervision.
- Experience creating and maintaining physical and electronic filing and tracking systems.
- Experience with general office financial administration, e.g., processing invoices for payments.
- Must be legally entitled to work in Canada
- Must provide and maintain a satisfactory Criminal Record Check with Vulnerable Sector Search
- Must provide and maintain a satisfactory Child Abuse Registry Check
- Must provide and maintain a satisfactory Adult Abuse Registry Check
