- Assist the Manager of Special Events in coordinating, organizing, and implementing all special events hosted by the City of Woodstock.
- Facilitate vendor coordination and provide support before and during special events.
- Recruit, schedule, train, and organize volunteers for City special events.
- Supervise students and/or volunteers in compliance with City policies, Parks Department policies, and the Occupational Health and Safety Act.
- Process required documentation and collaborate with internal departments to ensure successful delivery of events on City property.
- Research and identify potential sponsorship opportunities for upcoming events.
- Assist with event setup, logistical execution, and post-event teardown.
- Lead smaller‑scale events, including those in partnership with the Parks Department, by coordinating logistics and communicating key information with organizers.
- Perform other related duties as assigned by the Manager of Special Events.
- Diploma and/or degree in Recreation and Leisure, Event Management, or related field deemed equivalent by the corporation.
- Valid class G2 Ontario driver’s license.
- Proficiency in Microsoft Office, including Excel.
- Willingness to obtain Standard First Aid and CPR training.
- Capacity to work with minimal supervision and as part of a team.
- Strong adaptability to daily challenges in a busy work environment.
- Reliable self‑starter who undertakes all aspects of the job thoroughly and willingly.
- Excellent verbal and written communication and customer service skills.
- Ability to perform a variety of physical activities and actively participate in special events.
- Solid problem‑solving, conflict management, and organizational skills.
- Capability to develop and sustain effective working relationships with City staff and the public.
- Ability to represent the City of Woodstock to all event stakeholders.
- Successful completion of a criminal record or vulnerable sector check, employment verification, and proof of qualifications.
Scheduled 35‑hour work week. The position requires flexibility, including evenings, weekends, holidays, and overtime as required. The individual may be asked to work events such as Victoria Day, Canada Day, Streetfest, City Beautiful Awards, Cowapolooza, Fall Fest, Christmas events, and others.
