About

The Role

The Account Assistant is responsible for the critical administrative support, processing, and coordination of commercial insurance accounts. This role ensures the accurate, timely, and compliant handling of all essential account documentation, including certificates of insurance, policy endorsements, claims intake, and policy document delivery. The ideal candidate possesses strong organizational skills and meticulous attention to detail.

Administration & Quality Control
  • Manage the end‑to‑end Certificates of Insurance process, including request verification, generation, carrier submission for approval, and final client delivery.
  • Conduct quality control reviews of all new business and renewal policy documents against original quotes/binders. Flag discrepancies, and ensure final policy documents are accurately delivered to the client.
Policy Maintenance and Endorsement Processing
  • Handle all non‑complex endorsement requests, managing client communication regarding policy changes, submitting change requests to the carrier, and obtaining quotes when required.
  • Utilize Hub Spot to establish and manage follow‑up tasks, ensuring all policy changes and endorsements are processed in a timely manner.
  • Process finalized endorsements and coordinate with the finance team to send payment instructions for any resulting additional or return premiums.
Account and Claims Coordination
  • Complete the internal claims intake form, report the claim promptly to the appropriate insurance carrier, and track progress by following up with adjusters and Account Executives (AEs) for updates.
  • Proactively monitor overdue policy documents, follow up with carriers, and provide internal status updates.
  • Assist with general administrative tasks related to client onboarding, policy management, and servicing of the commercial book of business.
Skills & Qualifications
  • Level 1 license or to be obtained upon hire (Level 2 and RIBO an asset)
  • 1‑2 years proven administrative experience, preferably within a commercial insurance or financial services environment
  • Strong ability to build relationships, provide exceptional service, and create a seamless insurance experience.
  • Exceptional attention to detail and the ability to manage multiple clients, deadlines, and policies at once.
  • Proficient in using agency management systems and CRM software (Acturis, Hub Spot, or similar). Demonstrated ability to quickly learn and adopt new technologies and internal platforms is essential.
  • Excellent written and verbal communication skills and a collaborative approach for effective partnership with clients, carriers, and internal teams.
