Maintenance Clerk / Secretary (Part-Time)

The Maintenance Clerk/Secretary provides comprehensive administrative, clerical, and operational support to the Maintenance Department. This position serves as the central coordination point for maintenance documentation, work order administration, preventive maintenance tracking, compliance records, reporting, communications, and office operations. The role is critical to ensuring accurate records, efficient workflows, regulatory compliance, and effective communication between Maintenance, Parts, Operations, and Management.

This position utilizes modern administrative tools, including approved AI‑enabled productivity technologies, to enhance data accuracy, reporting efficiency, and document management while maintaining strict confidentiality and data security standards.

  • Demonstrated ability to use modern productivity tools, including AI‑enabled administrative technologies, for document management, reporting, data validation, and workflow optimization
  • Ability to prioritize tasks in a fast‑paced, 24/7 maintenance environment
Education & Experience
  • High school diploma or GED required
  • Associate degree in Business Administration, Office Administration, or related field preferred
  • Two (2) or more years of administrative experience in maintenance, transportation, logistics, or similar operational environment preferred
Key Accountabilities Administrative & Operations Support
  • Serve as primary administrative support for the Maintenance Manager and supervisory team
  • Maintain and manage maintenance records, files, and databases
  • Prepare reports, correspondence, schedules, and operational documents
  • Coordinate communications between Maintenance, Parts, Operations, vendors, and management
  • Support scheduling of meetings, training sessions, inspections, and compliance activities
Maintenance & Compliance Administration
  • Administer and track work orders, ensuring timely entry, updates, and closure
  • Monitor Preventive Maintenance (PM) documentation and compliance
  • Maintain warranty records and supporting documentation
  • Assist with audit preparation and regulatory reporting
  • Maintain confidential employee, safety, and compliance records
Data, Reporting & Technology
  • Generate routine and ad‑hoc operational reports
  • Maintain accuracy of maintenance data across all systems
  • Utilize approved AI‑enabled tools to assist with data analysis, reporting, document control, and workflow optimization while adhering to company security and privacy policies
Office & Department Coordination
  • Manage incoming calls, emails, and departmental correspondence
  • Maintain office supplies and equipment
  • Assist Parts Manager with documentation, invoices, and inventory records as needed
  • Provide clerical support during inspections, audits, and special projects
Teamwork, Workplace Upkeep & Safety
  • Support a collaborative and professional work environment
  • Uphold all RATP Dev and client policies and procedures
  • Maintain strict adherence to confidentiality and data protection standards
  • Promote safety culture and best practices throughout administrative operations

Pay: $17.94/ Hr
