Administrative Assistant

Administrative Assistant within the Division of Cardiovascular Medicine in the Department of Internal Medicine performs a variety of administrative tasks to assigned faculty, administrators, and programs in support of patient care, academic, and research missions. The role manages and oversees administrative functions of the clinical operations for the Division of Cardiovascular Medicine, implements processes, workflows, policies, and procedures to ensure efficiency, transparency, and compliance.

The assistant functions as a liaison between the Division, Central Scheduling, IHIS, Cadence team, third-party vendor (where appropriate), and division access leadership; ensures required and appropriate levels of provider coverage of inpatient service, procedural and outpatient clinics, as well as special CVM programs; maintains accurate provider schedules and manages clinic schedule changes; coordinates and maintains appointment calendars; schedules and coordinates meetings, conferences, educational programs, and special events including logistics;

attends and records minutes of meetings; transcribes and distributes meeting records; makes national and international travel and lodging arrangements; collects receipts, prepares requests for, and tracks reimbursement of expenses; drafts and prepares correspondence; prepares reports, tables, and slides for presentations; assists faculty with preparation of credentialing and promotion & tenure documents; updates CV and tracks CME documentation; completes project work as assigned by Division Administrator or Administrative Manager.

Performs other duties as assigned.

Minimum Education and Skills/Experience Required/Desired

Per CCS Specifications; six months experience (600 hours training) using computers to generate a variety of materials ranging from basic to complex; six months experience (600 hours coursework) in office practices and procedures; six months experience (600 hours coursework) in customer service. Requires successful completion of a background check. Selected candidate may be asked to complete a re-employment physical including a drug screen.
