You’re viewing a role description for a Practice Manager III position within a growing women’s healthcare group with 100+ locations and over 400 OB/GYNs and specialists nationwide. The Practice Manager is responsible for managing all aspects of practice operations of the unit and is accountable for the overall operations business and clinical functions of the practice, including daily site operations, staff management, budget and inventory control, and ensuring compliance with policies, procedures, and regulations, while delivering high-quality customer service.
Responsibilities- Ensure day-to-day operations run efficiently, promote staff/provider collaboration, and maintain key objectives and metrics including daily huddles.
- Partner with operational leaders and Talent Acquisition to assist with recruitment and develop a staffing model aligned with practice objectives.
- Manage patient access and provider scheduling workflows to reduce complexity and drive utilization while increasing access for patients.
- Manage front desk check-in/check-out workflows to reduce errors, improve financial performance, and increase patient satisfaction.
- Support and manage clinical teams and, with the CSC team, ensure regulatory clinical compliance.
- Distribute reviews and requests from partners.
- Provide monthly practice operations reviews to physicians and partners, including individual productivity.
- Develop ongoing access and capacity action plans with providers to improve productivity and satisfaction.
- Review and resolve marketing tickets, Google complaints, etc.
- Coach and mentor staff to support development, engagement, retention, and growth.
- Oversee day-to-day input/output that drives P&L outcomes.
- Facilities management to maintain clean, professional facilities that reflect Women’s Care quality and brand.
- Ensure safety/regulatory compliance (partner with CSC) to meet internal policies including CLIA, DEA, and IOS certifications.
- Onboard and ramp new providers to achieve revenue and growth targets.
- Manage inventory, equipment, and supplies with appropriate controls for expense management.
- Research and resolve billing issues with operations leadership as needed.
- Monitor patient satisfaction and address patient complaints and service issues as necessary.
- Monitor medical equipment for proper use and function.
- Represent the practice at organizational meetings, providing input and decision-making as appropriate.
- Demonstrate and embody the Women’s Care mission and core values.
- Comply with all HIPAA rules, regulations, and guidelines.
- Other duties as assigned.
- Bachelor’s degree preferred in management or healthcare; for level 3 manager, bachelor’s degree required, Master’s preferred.
- Minimum of 3 years progressive medical practice experience, including OBGYN; for level 3 manager, 5 years required.
- Computer literacy with EMR systems, preferably eClinical
Works (eCW). - Knowledge of medical terminology, medical billing, and insurance reimbursement.
- Understanding of healthcare financial management and P&L.
