The Ear, Nose, Throat & Plastic Surgery Associates is seeking a compassionate and organized leader to join our front desk team. This full‑time, 40‑hour a week position requires cross‑training in all front‑desk functions—check‑in, check‑out, chart preparation, and operator duties. The candidate will represent the practice professionally, travel to all offices as needed, and provide excellent customer service.

Essential Duties and Responsibilities- Schedule appointments, enter all information into the computer, and verify insurance details.
- Handle billing inquiries, mail or fax paperwork to new patients, and explain referral requirements.
- Answer telephone calls, take messages, and forward calls to appropriate personnel.
- Call patients to remind them of portal usage, insurance card submission, and referral confirmations.
- Use the White Book daily and update it with new information.
- Stay informed on managed‑care plans and referral requirements.
- Obtain chart numbers/EHR for medical records and schedule lab reports.
- Maintain a neat and stocked reception area before lunch.
- Participate in staff meetings and front‑desk tip meetings.
- Adhere to HIPAA regulations and office policies.
- Act as a positive team player and assist other positions when possible.
- Perform check‑in duties: greet patients, verify authorizations, complete paperwork, and keep waiting patients informed.
- Perform check‑out duties: collect dues, answer calls, and route messages.
- Operate the answering service, confirm appointments, and transfer calls.
- Prepare charts and review EHR records for appointments, obtaining authorizations.
- Float to each front‑desk position as needed, ensuring insurance authorizations are secured for all patients.
- Strong communication skills with professionalism and respect.
- Excellent computer skills.
- Motivated to learn.
- Bilingual in English and Spanish preferred.
High school diploma or GED.
Language SkillsAbility to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Computer SkillsBasic knowledge of Microsoft Word and Google applications.
Mathematical SkillsAbility to perform addition, subtraction, multiplication, and division with two‑digit numbers and units of American money.
Reasoning AbilityApply common sense to carry out written or oral instructions and solve problems involving several concrete variables.
Physical DemandsStand, walk, sit, use hands, talk or hear frequently; lift up to 10 pounds occasionally; maintain close and distance vision.
