Cancer Patients Europe (CPE) is a pan-European and pan-cancer type association based in Brussels. It was established to represent and empower the voices of cancer patients and cancer survivors, with the vision to reduce the burden of cancer on patients, carers, survivors, healthcare systems, and society.
The PositionCPE is recruiting an Events Officer to organise and manage all phases of planning and executing live, virtual, and hybrid events. You will work in coordination with the CPE team, under the supervision of the Project Officer with some level of independence and ownership.
Key Responsibilities- Planning and Organisation of CPE Annual Meeting:
To plan, organise, and manage the CPE Annual Meeting that takes place over three days comprising of an event at the European Parliament, an all-day conference, and the AGM (venue, logistics, catering, handouts, on-site management) - Event Planning and Organisation:
To plan, organise, and manage CPE external events, including conferences, workshops, webinars and meetings independent or within projects, ensuring smooth logistics and high-quality execution. - Event Promotion and Communication:
To collaborate with the relevant team member (Communication, Policy, Research and Patient Engagement) in coordinating event-related communications, including organising briefing calls with event speakers, preparing informational emails for participants, and supporting all communication needs linked to event organisation. - Participant Management:
To manage invitations, registrations, and participant communications, ensuring a seamless experience for attendees. - Logistics and Supplier Coordination:
To liaise with venues, catering, speakers, hotels, and other service providers, ensuring all logistical requirements are met. - Budget Management:
To manage event budgets in collaboration with the Administration Officer. - Support for EU Funded Projects:
To contribute to the organisation of project-related events, ensuring alignment with project objectives and reporting requirements. - Event Reporting and Evaluation:
To collect feedback, prepare post-event reports, and provide insights for improving future events. - Internal Meetings and Team Events:
To coordinate and organise internal meetings and events, including scheduling, venue arrangements, and follow-up.
All tasks will be conducted in close cooperation with the Communications Officer, the Project Officer and the CPE team.
Education and Skills- Ongoing or completed higher education in communications/marketing/events or similar;
- Excellent organisational and communication skills and attention to detail;
- Proficiency in Microsoft Office tools (Word, Excel, PowerPoint);
- Fluency in English (oral and written), with proficiency in other EU languages considered an asset.
- Proactive approach, collegiality, readiness to offer a helping hand in various tasks, sociable and mature personality able to relate with peers and high-level officials;
- Demonstrated ability to work well with others in both team and independent environments;
- Willingness and availability to work remotely and to undertake business travel;
- Ability to work in an international and multicultural environment.
- Relevant prior professional experience in a similar position is desirable;
- Experience in preparing documents, such as reports and graphs, and creating and using Excel tables is essential;
- Experience in patient advocacy/health sector would be an advantage.
This is a full-time intern position for one year. The honorarium will be according to the Belgian law on internships. There will be the possibility of prolonging the position into full-time, long-term employment.
