Event Coodinator

As an Event Coordinator at Circles Conference, you’ll be instrumental in bringing our creative experience to life. Your focus will be on planning, coordinating, and executing the many moving parts that make Circles an unforgettable event. From vendor communication and schedule logistics to hospitality and onsite setup, you’ll ensure every detail runs smoothly.
We will cover flights and hotel for this role, though preference will be given to candidates located in the DFW area.

• Assist in coordinating all aspects of Circles Conference logistics, including venue setup, schedule flow, vendor coordination, and speaker hospitality.
• Work closely with the core Circles team to align event production timelines and ensure all details are handled on time.
• Communicate with venues, caterers, AV teams, and other partners to confirm details and troubleshoot any issues that arise.
• Manage the creation and execution of event materials such as signage, check-in setup, and backstage support.
• Support onsite during the conference to help ensure everything runs according to plan and attendees have an exceptional experience.
• Provide post-event feedback and help document processes for future conferences.

• Experience coordinating events, conferences, or similar productions preferred.
• Excellent organizational and time management skills, with the ability to multitask and adapt in a fast-paced environment.
• Strong communication skills and the ability to work collaboratively with a creative team.
• Detail-oriented mindset and a proactive, problem-solving attitude.
• Comfortable with both pre-event planning and hands‑on work during event days.
• Flight and hotel accommodations covered by Circles Conference (DFW-based applicants preferred).
