Overview

At Medivet Bisley, we know that outstanding veterinary care starts long before a pet enters the consult room. Our Client Care Assistants play a vital role in creating a calm, organised, and welcoming environment for clients and colleagues alike. As a Client Care Assistant (CCA) you will be the first point of contact for client phone calls and visits.

Responsibilities
  • Be the first point of contact for clients, offering a warm, professional welcome both in person and over the phone.
  • Manage appointments efficiently, including booking, rescheduling, and supporting the smooth flow of the day for the clinical team.
  • Handle client queries with confidence, providing accurate information or directing them to the appropriate team member.
  • Maintain a calm, organised reception area, ensuring clients and their pets feel comfortable and supported.
  • Process payments and insurance claims accurately, following Medivet procedures.
  • Support the clinical team by preparing paperwork, updating client records, and ensuring all information is captured correctly.
  • Assist with administrative tasks, including email correspondence, stock checks, and maintaining practice documentation.
  • Promote Medivet services and preventative healthcare, helping clients make informed decisions about their pets’ wellbeing.
  • Contribute to a positive team culture, communicating clearly and working collaboratively with colleagues across the practice.
  • Support the Guildford practice on weekends, working 1 in 4 Saturdays.

About You

You’re skilled at providing exceptional client facing care, with excellent reception skills. You’ll have good numeracy skills, with experience of using online appointment booking systems. You’re a team player who wants to make a real difference in a practice that values and supports you.

We welcome applications from candidates who are able to prioritise, can remain calm under pressure and who are flexible and willing to learn. Previous veterinary receptionist experience is desirable.

What You’ll Be Doing
  • Carry out reception duties, greeting clients on arrival, and updating records
  • Triage the impact of emergency appointments, contacting clients and rearranging as needed
  • Manage the practice diary to ensure appointment availability is optimised to team skillset
  • Answer client phone calls and manage messages
  • Ensure appointment slots are available for clients to book online
  • Process any repeat prescription order requests
  • Work collaboratively within a supportive team
