We are looking for a trustworthy and reliable Leadership Support Assistant to provide high-level administrative support to The Managing Director and Senior Leadership team (SLT). This role is crucial for ensuring the smooth operation of the MD's office enabling them to focus on strategic tasks.

In this position, you'll be assisting our Managing Director by managing their diary and coordinating travel plans. Plus, you'll play a vital role in supporting our leadership team with administrative tasks. As a key point of contact for everyone, you'll be connecting with various departments and individuals to offer guidance and assistance.

Located in our Woking office, you'll be the first point of contact for our visitors. You'll help maintain our site, coordinate appointments, and ensure that everyone arrives safely. Plus, you'll take the lead in ensuring our office runs smoothly and take pride in managing our facilities.

Key Responsibilities
  • Efficient and smooth diary Management for the Managing Director
  • Leads projects for the business as required
  • Manage the facilities on site, including tracking dates for services, organising repairs and holding relevant documents securely
  • Organize events and meetings
  • Organize travel and accommodation requirements
  • Ensure office standards are maintained e.g., 6S
  • Plan and organize the replenishment of consumables and stationery
  • Organize visitors onsite, ensuring this is efficient and health and safety is at the forefront
  • Manage the relationship with key suppliers e.g., confidential waste, cleaners etc
  • Support H&S requirements e.g., fire alarm tests, reporting etc
  • Support the Fleet coordinator with onsite fleet queries e.g., hold keys securely
  • Open post daily and distribute appropriately
  • Support the administration of credit card statements and expenses for the SLT
Requirements
  • Strong integrity and is highly confidential / trustworthy
  • Able to use own initiative
  • Strong communication skills (written and oral) and a confident /approachable team player
  • Excellent problem solving and organizational skills
  • Excellent attention to detail
  • Ability to work to strict deadlines and remain calm under pressure
  • Ability to build relationships and engage at all levels
  • Strong software system skills - including Outlook, PowerPoint and Microsoft Excel
  • Able to build out professional presentation on Power Point
  • Able to use Project planning tools, GANT charts etc
  • Experience of organizing events desirable but not essential
  • Experience of using Concur is desirable but not essential
